The Administrative Assistant encompasses key administrative tasks crucial for supporting the Talent Acquisition team. Responsibilities include answering inquiries, managing the TA inbox, assisting with job postings, and providing direct support to walk-in applicants. These tasks collectively ensure the teams operational efficiency and accessibility.ResponsibilitiesAnswer incoming calls and provide accurate information or route inquiries appropriatelyManage the Talent Acquisition email inbox, ensuring timely responses and organized recordsAssist with posting job openings on various job boards and internal platformsProvide support to walk-in applicants, including assisting with application processes and inquiriesAssist in the documentation of recruitment and onboarding processes to ensure clarity and complianceMaintain accurate records and update the applicant tracking system (ATS) as neededOrganize and manage files and records related to candidate information, job postings, and recruitment activitiesSupport the Talent Acquisition Partners in coordinating communication with candidates, and follow-ups, emphasizing professionalism and empathySupport the Talent Acquisition Partners by occasionally coordinating communication with candidates, including interview schedules and follow-upsServe as a point of contact for candidates needing additional support or guidance during the application process, building trust and maintaining open communication channelsCoordinate registration for career fairs and similar recruiting eventsCommunicate with external organizations, including unemployment offices and workforce development agenciesProvide logistical support for recruitment-related events, ensuring seamless executionOrganize and maintain swag inventoryWork closely with the Talent Acquisition team to identify areas for process improvementParticipate in team meetings to provide updates on administrative activities and suggest efficienciesSupport other ad hoc tasks and projects as assigned by the Talent & Development Manager to meet organizational goalsQualificationsHigh School Diploma or GED preferred, or an equivalent combination of education, training and related experienceProficient with MS Office SuiteExcellent time management skills, has the ability to prioritize tasksAbility to effectively communicate with peers, co-workers, clients, customer, and the general public
