We are looking for that person who likes to take ownership and actually wants to do their best work.Here is what we are seeking in this role:This role is being onsite Monday through Friday in Orland Park, IllinoisI can only work with US Citizens or Green Card Holders for this roleYou will be working on all those things that make an Office Manager into a FANTASTIC Office Manager. You will be something of the foundation of the daily operations of this office. Their are roughly 50 people in this office...so, not too small, but not too huge either. You will blend those key administrative tasks that make an office truly hum, along with facilities management and cross-department coordination.Here are some of those key responsibilities (I wont bore you to tears with a zillion of these...):Organize and schedule meetings and appointments and assist with travel arrangements.Maintain both physical and digital office filing systems to ensure easy document retrieval.Manage incoming and outgoing communications, including phone calls, emails, mail distribution, reception tasks, bill or invoice processing.Develops and implements procedures and policies for all administrative activities.Assist in preparing and monitoring the office budget, tracking expenses, and processing invoices and expense reports including ensuring timely payment of office-related bills and manage petty cash as necessary.Support HR in onboarding new employees, including setting up workstations and providing necessary training.Collaborate with HR to update and enforce office policies and procedures.Work closely with IT to ensure the smooth operation of office technology and equipment.Monitor overdue customer accounts and initiate follow-up communications to ensure timely payments.Support external company events in collaboration with the events teams, proactively take care of our guests, offering / ordering lunch, and book transportation if necessary.Manage daily office operations to ensure a well-functioning environment, with a focus on order management, inter-company electronic correspondence (in other words, monitoring multiple email boxes), and an invoice oversight.Here are the most important things we are looking for in terms of experience:At least 5 years of office management / administrative management experience in a professional office environment. It would be fantastic if you worked for a software or IT firm in your past as an office manager or administrative manager.Experience with Accounts Payables and Accounts Receivables.
