As the Senior Executive Assistant to the two Founding Principals of a high-performing architecture and design firm, you will serve as a strategic partner and trusted gatekeeper. In this role, you will provide high-level administrative, operational, and logistical support, enabling the Principals to focus on creative leadership, client engagement, and firm growth. You will manage priorities, streamline communication, and ensure the seamless execution of daily functions and schedules.This full-time, on-site role is ideal for a polished, confident, and proactive professional who thrives in a fast-paced, collaborative, and design-focused environment. You are someone who anticipates needs, safeguards time and focus, and brings clarity to complexity all while aligning with the values of the firm.Responsible ForProactively managing complex calendars, coordinating meetings, appointments, and prioritizing sensitive matters.Oversee travel logistics, including booking arrangements, itineraries, and accommodations for both domestic and international travel.Serving as a liaison between the Founding Principals and internal teams, clients, consultants, and industry partners, demonstrating sound judgment and professionalism.Provide comprehensive administrative support, including managing and organizing emails, drafting and editing correspondence, weekly touch bases, and other communications on behalf of the Founding Principals.Preparing, editing, and organizing presentations, meeting materials in coordination with project teams, and confidential correspondence.Monitoring and responding to key emails, independently handling routine communications and flagging priorities as needed, while filing and tracking accordingly.Preparing conference rooms for client meetings, including ordering lunch for client meetings in coordination with project teams, and ensuring materials are ready.Track key deliverables and deadlines, ensuring timely follow-through and accountability for both internal and external commitments.Maintain absolute confidentiality and discretion when handling sensitive information and materials.Managing competing priorities in a dynamic, fast-paced environment with professionalism and efficiency.Demonstrating exceptional communication and well-reasoned problem-solving skills.Keep Founding Principals on schedule by managing and optimizing their daily calendars and ensuring punctuality for all meetings and appointments.ServiceDemonstrating perceptiveness, adaptability, and responsiveness to the evolving needs of the Founding Principals.Coordinating and organizing cards, gifts, and floral arrangements for client, family, and friend birthdays, anniversaries, and special occasions.Participating in general office upkeep and light cleaning duties in collaboration with other staff.Providing personal support when requested, including grocery shopping, arranging travel, managing dry cleaning, and preparing or ordering meals, helping with entertainment at Founding Principals house and off-site.Handling all personal arrangements for the Founding Principals as requested.Setting a positive example for the team through a dedicated and sincere work ethic.Demonstrates all the above and…Ideally 12+ years of executive C-level support experience, ideally in architecture or professional services.Proven ability to support C-level executives or firm founders with discretion, agility, and trust.High level of discretion with sensitive and confidential information at all times.Excellent organizational skills, with meticulous attention to detail and follow-through.Strong written and verbal communication skills; comfortable interfacing at all levels.Proficient in Google Workspace, Microsoft Office, Adobe Creative Suite a plus.Notary preferredCalm under pressure, adaptable, and solution oriented.Demonstrates an ability to multi-task and establish priorities.Possesses strong organizational, analytical and problem-solving skillsHas the ability to effectively communicate issues and concerns to stakeholders, vendors and project team membersDemonstrates a commitment to learning and practicing R+B standardsExhibits all of R+B Core ValuesWhat Success Looks Like at R+BTo thrive at R+B, you’ll bring more than just skills—you’ll embody the values that shape our culture and drive our success:Growth Mindset: We actively embrace challenges as opportunities for growth, maintain an open and inquisitive mindset, and proactively seek knowledge.
