We are seeking a highly organized and proactive Executive Assistant (EA) to support senior leadership and help drive the pace and clarity of our growing organization. You’ll handle critical administrative, scheduling, and communications tasks to maximize the executive’s efficiency and ensure priorities stay on track. This is a trusted, high-leverage role ideal for someone who thrives in fast-moving environments and values precision, follow-through, and confidentiality. A background or experience in science, engineering, or the technology sector-especially in government or defense program environments-is highly desirable.Key Responsibilities include:Administrative and Calendar Support-Manage and coordinate schedules, meetings, and logistics for leadership-Anticipate and resolve scheduling conflicts, proactively optimizing time allocation-Coordinate internal and external meetings, ensure timely prep and follow-up-Track key action items and internal deadlines to ensure follow-throughCommunications and Documentation-Draft, proofread, and format internal memos, short communications, and slide decks-Help compile documents, agendas, and board materials-Organize shared files and folders for clarity, version control, and quick access-Manage sensitive correspondence with discretionProject and Logistical Support-Coordinate travel bookings, itineraries, and event registrations-Track and organize receipts and expenses for reimbursement-Support document preparation and signature tracking for legal agreements and contracts-Assist with light bookkeeping tasks or invoice tracking in coordination with the finance team-Help maintain organized records of NDAs, vendor agreements, and internal approvalsCross-functional Coordination-Act as liaison between leadership and internal/external stakeholders in legal, finance, HR, and R&D-Help track deliverables and deadlines related to corporate filings, contract execution, and budget approvals-Ensure leadership has relevant documentation for compliance reviews, board meetings, and financial reporting-Maintain confidentiality and awareness of sensitive initiatives, including investor communications and auditsQualifications:-3+ years of experience supporting senior executives or leadership teams in fast-paced environments-Excellent organizational, time management, and multitasking skills-Strong written and verbal communication-High discretion and trustworthiness in handling confidential information-Proficiency with Microsoft workspace and productivity tools; must be tech-savvy-Ability to work independently, take initiative, and anticipate needsPreferred Experience:-Experience supporting executives in R&D, government contracting, or deep tech-Based in or near Ann Arbor, MI -Exposure to or interest in scientific/technical program environmentsThis is a rare opportunity to support a world-class technical team working at the frontier of quantum technology.
