We are seeking an experienced Administrative Assistant for a position on the Los Angeles International Airport (LAX) capital improvement program.SynopsisThe T5 Administrative Assistant reports to the T5 Delivery Director and is responsible for providing a variety of administrative functions to support the T5 project team. The Terminal 5 Program covers the full demolition and rebuild of the Terminal 5 headhouse and concourse, as well as various enabling scopes to vacate the existing building.Position Description SummaryThe T5 Administrative Assistant provides a full range of administrative support to the T5 Delivery Director. Answer phones, furnish callers with information, prepare materials, process mail, track assignments, route documents for signature, research information, and perform other clerical tasks as may be required.Key Identifiers for the PositionExperience in an administrative position serving multiple personnelMaintain an excellent working relationship with the project team and stakeholders geared towards open communications and mutual problem solving in the best interest of the project and all other parties involvedContribute to a high level of team morale through professionalism that reflects well on the project team, external stakeholders and LAWA/internal stakeholdersDescription of DutiesPrepares correspondence, maintains calendars, sets up and coordinates meetings, takes meeting minutes, copies and scans documents, logs information, tracks documents, handles phone calls, greets and assists visitors. Additional duties include support of projects in regards to document control, project controls, financial processes, creating reports and power point presentations.Essential Job DutiesPerform various administrative, clerical, data collection, data entry, and report writing tasksAnswer telephone, take and relay messages, screen callers and direct calls accordinglyScan, fax and bind documents and reports as requiredPrepare general correspondence and maintains general files.Coordinate approval signatures in a timely mannerMaintain calendarsSet up and coordinates meetingsReserve conference roomsTake meeting minutesCopy and scan documentsLog informationTrack documentsGreet and assist visitorsGather statistics and general data; review and combine this information into established reports for use internallyMay develop new reports or revise existing reports, as directed. Such reports may be in spreadsheet or graphical formats, or narrative-style word processingMay be responsible for verifying data gathered, such as matching supplier invoices against file copies.Distribute reportsOriginate correspondence and reportsStock supplies and maintain office equipmentMaintain an organized workspace by keeping documents and supplies properly storedProvide backup for other administrative staff within TDIPPerform other responsibilities associated with this position as may be appropriateAdditional duties include support of projects in regard to document control, project controls, financial processes, creating reports and power point presentations.Hardware/Software KnowledgeProficient in Microsoft Office Suite and BluebeamAbility to work in CAD or REVIT preferredProfessional Experience Level/Other Qualifications10 years or more experience as an administrative assistantExcellent written and oral communication skillsA working knowledge of standard policies and procedures on complex capital public works projects is preferredEducation/TrainingPost-secondary educationNotesMay assume other duties as required/neededMaybe required to work past regular work shiftMaybe required to work various shifts as neededThis is NOT a work from home positionThis is a salaried position based on 40 hours per week at the applicable all-in labor rate.This is a Monday-Friday full-time position in the office or on the project site at LAXAfter hours or weekend work may be required to perform the duties of the position.
