QUALIFICATIONS: Bachelor's degree or equivalent experience. Three years or more of administrative assistant experience reporting to a senior manager. Excellent human relations and oral/written communications skills with attention to detail and professionalism in all interactions. Excellent organizational and time-management skills, with the ability to multitask and prioritize effectively. Ability to work independently, take initiative, and proactively solve problems. High level of integrity, reliability, and confidentiality. SUMMARY: This role demands a highly skilled and detail-oriented Executive Assistant with strong proficiency in Microsoft Office applications, remote meeting platforms and other new technologies, as well as the ability to produce professional-quality reports, presentations, and correspondence. The ideal candidate will demonstrate excellent communication and interpersonal skills, along with top-tier secretarial abilities including scheduling, phone management, and administrative follow-up. Key responsibilities include supporting executives through confidential administrative and clerical work, managing calendars, organizing meetings and travel, maintaining records, compiling data, preparing statistical and presentation materials, and handling correspondence. The position also requires discretion in managing sensitive information, a working knowledge of business operations and technical terminology, and a consistent commitment to maintaining efficient office procedures and positive stakeholder relationships. The candidate must also be comfortable working in an environment where service animals are present. This position is fully in-office and does not offer a remote work option. MAJOR DUTIES AND RESPONSIBILITIES: Performing a wide range of administrative and secretarial duties of a highly confidential nature. Drafting confidential correspondence, editing documents, taking meeting minutes and performing other administrative duties. Scheduling appointments and coordinating arrangements for meetings, making sure executives meet their commitments. Completing all assignments in a timely manner. Performing receptionist duties and maintaining appropriate secretarial skills Preparation of statistical data. Ordering supplies and maintaining inventory. Maintaining order of establishment and filed information/documentation to ensure immediate access to file data for execution of executive's duties. Compiling and analyzing basic information for inclusion in reports or presentation materials, preparing charts, graphs, or tables as necessary. Facilitating meetings and conferences by drafting agendas, preparing notices and schedules, and making all other necessary arrangements. Initiating and answering correspondence in routine matters and providing information to the public, department directors, board members, volunteers, Agency staff and relevant others. Word processing from oral instruction, shorthand notes and written copy a wide variety of materials including correspondence, memoranda, reports, minutes of meetings, etc. Formats, proofreads and may make minor editing changes. Making travel arrangements including ordering tickets, reservations and preparing expense reports. Follows up on reports, correspondence, meeting schedules, special projects, etc. Maintains security and deals discreetly with sensitive and confidential information concerning Agency affairs and data contained in minutes, correspondence and other documents. (Includes Agency financial information, salaries, plans, and labor strategies, legal and other matters.) Is responsible for the care and maintenance of department equipment and supplies. Maintains positive relationships with clients, department directors, volunteers, contributors, and relevant others. Performs such other duties as delegated, assigned and required.
