Summary JOB DESCRIPTION Performs administrative and secretarial assistance for the departmentExperienceThree-year secretarial experience required. Individual must be knowledgeable and proficient in word processing, spreadsheets, and grafts using Microsoft Word, Excel and PowerPoint programs.EducationHigh school graduate with business/secretarial courses, proficient typist. Knowledge of standard medical abbreviations and terminology.Essential Functions AdministrativeCoordinates meeting and travel arrangement for the DepartmentAssists with details of meetings, including room scheduling, publicity, programs, ordering equipment, pre-registration lists, arrangements housekeeping and mailing. Assists with registration procedures, including responsibility for collecting money and ensuring its arrival in financeSupervises volunteers in performing clerical work (collating materials, assembling booklets, etc.)Demonstrates willingness to accept non-routine work assignments as appropriate Document PreparationTranscribes, types, and prepares documents for mailing or internal distribution. Types of documentsinclude letters, memos, reports, policy/procedures, meeting minutes, and contractual agreementsPrepares PowerPoint presentationsPrepares, reviews, copies, and files as necessary, departmental correspondencesAttends selected meetings and records minutesMaintains records and files as requested Meeting SchedulingSchedules meetings and appointmentsConfirms meetings to requestor and participantsSchedules meetings in a timely mannerOther Duties:Other duties as assigned.About UsJoining the Guthrie team allows you to become a part of a tradition of excellence in health care.
