Reporting to the Manager of Global Law and Policy Operations, you will be responsible for managing high-level administrative requests, building, tracking, and owning various global projects in support of the Department and Legal Operations team and provide operational support as described below.  You will need to possess strong attention to detail while managing multiple tasks simultaneously in a fast-paced, high-energy environment. How you will do it:Department AdministrationCoordination and planning of CLE/Department TrainingSupport event planning logistics (example: global All-Hands meetings)Develop/Update/Document key Department processesContract Lifecycle Management ProjectSupport global deployment of central contracts repository (led by Legal Operations)Milestone reporting/tracking and driving key KPIs/resultsOutside Counsel Optimization InitiativeSupport global preferred law firm partner initiative (led by Legal Operations)Milestone reporting/tracking and driving key KPIs/resultsOnboardingWork with Legal Operations administrative team to develop global onboarding best practicesAct as the Department point of contact during onboardingSubpoenas/SOP/Settlement ProcessingSupport coordination of third-party subpoenas and service of processSupport settlement payment processes as neededAdditional supportMaintain teams’ [department-facing and company-facing] website content as necessarySupport collection of spend reports and various billing metricsHandle incoming and outgoing FedEx, inter-office mail and faxesHandle special projects as assignedSupport Legal Operations team in the preparation and review of various operational reports, metric tracking, dashboards, and scorecards for Department-wide useBackup coverage for other administrative support as neededWhat we look for:RequiredBachelor’s degree. Minimum of five years prior Executive Administrative support, paralegal, or coordinator experience is required, ideally in a global work environmentMust have demonstrated proficiency in using a variety of office/desktop solutions including Microsoft Office (Outlook, Excel, Word, and PowerPoint)Critical thinking skills and demonstrated problem solving capabilitiesAbility to work flexible hours on occasion, as required (i.e., working before 8am, after 5pm)Effective verbal communication skills as well as confidence in communicating with all levels of the organizationStrong organizational skills and ability to multi-task in a fast-paced environmentAttention to detail and ensures accuracy in work performedProven ability to handle sensitive and confidential information ethically and responsiblyPreferredPrior experience working in a legal environmentExperience in SharePointThis is a onsite role at our Glendale, WI office. Requires 4 days in office (Monday - Thursday).#LI-Onsite
