You’ll ensure seamless coordination across departments, maintain compliance with contractual obligations, and deliver exceptional customer service.How You Will Do ItService Coordination & Account ManagementManage and coordinate all service requests and work orders for NYS facilitiesServe as the central point of contact for internal teams (operations, technical, finance) and external stakeholdersEnsure timely dispatch and follow-up of service technicians and specialistsMaintain accurate account records, service histories, and contact logsInspection Tracking & ComplianceMonitor mandatory inspections for NYS facilities in alignment with contract milestonesMaintain inspection calendars and issue reminders or escalation notices as neededCollaborate with facility managers to confirm inspection completion within required timeframesPrepare and submit compliance reports to sales leadership and agency representativesInvoicing & Pricing AdministrationGenerate and submit monthly invoices in accordance with contract termsValidate billed services against approved pricing and applicable discountsResolve billing discrepancies and respond to customer inquiriesPartner with Accounts Receivable to track payment status and support timely collectionsSystems & Data ManagementUtilize MasterMind or equivalent CRM/service-ticket system to manage service eventsDevelop Excel-based dashboards to track KPIs, revenue forecasts, and inspection status using advanced formulas, pivot tables, and macrosCustomer Engagement & CommunicationCultivate relationships with senior NYS executives, facility directors, and procurement officersLead virtual and on-site meetings to review service performance and align on evolving requirementsTravel & On-Site SupportTravel approximately 5–10% annually for site inspections, training sessions, and executive briefingsConduct facility walkthroughs and gather feedback to drive service enhancementsCollaboration & Continuous ImprovementIdentify service trends and operational bottlenecks; recommend process improvementsParticipate in cross-functional initiatives to elevate service delivery and customer satisfactionAdditional ResponsibilitiesStay informed on NYS regulations, procurement policies, and industry best practicesSupport annual contract renewals, pricing evaluations, and updates to statements of workWhat We Look ForProven experience in service coordination, account management, or sales supportStrong organizational and communication skillsProficiency in CRM systems and advanced Excel functionsAbility to work cross-functionally and manage multiple prioritiesFamiliarity with public sector contracts and compliance requirements preferredHIRING SALARY RANGE: $60,000-80,000 (Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, location and alignment with market data.)
