PurposeThe Epic Change Management and Communication Lead will serve as lead change enabler for the Epic implementation. Working closely with the central Marketing and Communications team, the lead will also serve as the project’s communication strategist, responsible for developing and executing targeted, audience-specific communications that promote understanding, engagement, and adoption. The Epic Change Management and Communication Lead is responsible for implementing and managing changes within an organization to ensure that business goals are achieved with minimal disruption.ResponsibilitiesChange Management Planning and Execution:Designing and implementing change management strategies and plans that maximize employee adoption and usage while minimizing resistance. Working closely with project managers and other stakeholders to ensure that changes are implemented smoothly, and deadlines are metLead and coordinate user adoption efforts along with training staff and other project team membersDevelop plans for both change management and communications that align to overall implementation phases and scopeChange Management Process:Apply a structured methodology and lead change management activities. Create a strategy to support adoption of the changes required by project or initiativeConduct impact analyses, assess change readiness and identify key stakeholdersProvide input, document requirements and support the design and delivery of training programsComplete change management assessmentsIdentify, analyze and prepare risk mitigation tacticsCoordinate efforts with other specialistsIntegrate change management activities into project planEvaluate and ensure user readinessCommunications:Develop and execute a comprehensive internal communications strategy to support Epic implementation and change management, ensuring alignment with enterprise priorities that advance the mission and vision of UT Medical Center.Collaborate with subject-matter experts, project leadership and super users to create and deliver targeted, audience-specific campaigns and messaging that drive awareness and engagement.Removed from IT team's additional comms function bullets -- recommend homing in change management:Serve as a trusted advisor on change management best practices, helping to build awareness, reduce resistance, and foster adoption of the new Epic system.Design and manage feedback loops (e.g., surveys, focus groups) to assess change readiness and concerns.Partner with enterprise Marketing and Communications to ensure all materials adhere to brand, editorial, and messaging standards, using established systems and workflows.Manage the content lifecycle for internal communications channels including the intranet and email marketing platforms, ensuring timely, accurate and relevant updates.In consultation with the Strategic Content team, maintain an associated editorial calendar to coordinate communications planning and ensure consistent messaging across channels, audiences and timelines.Oversee internal distribution lists and segmentation strategies to enable precise targeting of communications, in collaboration with IT and communications stakeholders.Provide rapid communication support during functional outages or other times of high-impact change, ensuring stakeholders receive timely and accurate information.Track, analyze and report on communication effectiveness using available metrics and feedback tools to continuously improve strategy, content, and channel performance. Benchmark against industry standards in collaboration with the Digital Experience team.Required QualificationsBachelor's Degree in a health, science, communications or business field, or in lieu of a degree, five (5) years of related professional experience supporting clinical, ancillary, or business environments will be considered.Strong knowledge of clinical information systems, clinical informatics, data management and administration.Demonstrated technical ability to produce accurate, grammatically sound written content, with ability to adapt messaging for different audiences and channels.Demonstrated technical ability to improve written content, including developmental, content, line and copyediting.Experience working with content management systems.Experience maintaining brand and style standards and guidelines.Must have demonstrated experience working with clinicians in a support and/or educational role. Able to exercise problem-solving skills, good judgment based on guiding principles, and organizational policies/practices.Excellent verbal and written skills, strong interpersonal skills, and the ability to work independently and as a member of a team.Active Epic Certification or Accreditation (considered) in relevant Core application preferred.Experience and proven success in information systems implementation, development and support within a large-scale healthcare organization required.Preferred QualificationsPreferred 5-7 years previous clinical information systems experience or equivalent.Demonstrated experience as a major participant in an Epic configuration.Demonstrated understanding of internal communications strategies, best practices, and emerging trends.
