This role is crucial for ensuring the smooth operation of senior leadership activities, offering a unique blend of direct executive support and broader administrative community engagement. You will be a trusted partner, managing complex calendars, coordinating logistics, and contributing to special projects that enhance overall team efficiency and effectiveness. This position thrives on agility, discretion, and a commitment to excellence, offering significant opportunities to grow and make the role your own within a supportive and evolving environment. **Key Responsibilities** * Provide comprehensive day-to-day operational support to senior administrative staff and the broader executive team, serving as a reliable backup and adapting swiftly to evolving needs and timelines. * Manage intricate calendar support for a Chief of Staff equivalent, navigating multiple time zones, prioritizing urgent requests, and balancing immediate needs with long-term strategic planning. * Coordinate and oversee executive office logistics, including the procurement of supplies, hardware, assets, and facilities-related requests, ensuring seamless operations in a dynamic and rapidly changing environment. * Support and execute special assignments and ad-hoc projects with limited guidance and tight deadlines, demonstrating flexibility, discretion, and a proactive, solutions-focused mindset. * Provide essential onsite support during core business hours, maintaining high levels of availability and responsiveness within a highly visible and fast-paced executive environment. * Identify and implement process improvements to enhance team efficiency, streamline workflows, and optimize the utilization of shared resources, contributing to the continuous evolution of executive support operations. * Cultivate and maintain strong working relationships with key stakeholders across various teams and disciplines, embodying professionalism, collaboration, and tact in all interactions. * Consistently demonstrate a proactive, customer-centric approach while upholding the highest standards of confidentiality, integrity, and discretion, particularly when handling sensitive information or executive-level communications. * Contribute to team learning sessions and development initiatives for the administrative community. * Assist with travel coordination, leveraging dedicated internal resources to streamline the process. **What You’ll Bring** * Minimum of 5 years of overall experience in an administrative support role, with a focus on executive support, including complex calendaring, travel coordination, and team support. * Minimum of 2 years of experience directly supporting C-level equivalent executives (e.g., Chief Financial Officer, Chief Operating Officer, President). * Minimum of 3 years of experience working within the enterprise technology industry. * Intermediate proficiency in spreadsheets, including experience with tracking reports and utilizing pivot tables. * Demonstrated ability to thrive in a fast-paced, dynamic environment with frequently changing priorities and last-minute adjustments. * Exceptional organizational skills and meticulous attention to detail. * Strong communication and interpersonal skills, with the ability to build effective relationships across all levels of an organization. * A proactive, “can-do” attitude with a strong sense of urgency and discretion. * No specific degree or certification is required for this role. **What Sets You Apart** * Proven experience working in highly confidential environments, managing sensitive communications or projects, such as in legal, human resources, or similar fields. * Ability to navigate high-pressure situations and executive interactions with a calm demeanor and a sense of urgency. * A track record of identifying and implementing process improvements that lead to increased efficiency and optimized resource use. * Experience in environments that prioritize flexibility, innovation, and empowerment, where you can suggest and implement new ways of working. **About Aquent Talent:** Aquent Talent connects the best talent in marketing, creative, and design with the world’s biggest brands.
