GuildCare, Lighthouse Guild's innovative community-based Adult Day Health Care Program providing services to adults who are blind or visually impaired and have chronic health care needs is seeking a full time Office Manager to work with our multidisciplinary team in our Latham location. QUALIFICATIONS: High School Diploma with at least 2 years clerical experience (Associates degree preferred). Excellent customer service, computer literacy and proficiency in Excel.  Good organizational, communication and interpersonal skills. JOB DUTIES: Maintains accurate daily, weekly, and monthly client attendance records. Enters daily billing into billing system and completes billing certifications in a timely manner.  Responsible for coordinating and arranging client transportation and is the liaison between the transportation vendor and program. Including client scheduling and certification within the MAS system. Performs as Petty cash Custodian. Responsible for maintaining accurate, current contact information for staff and clients. Acts as back up for Program Director in monthly eligibility checks for existing and newly enrolled clients. Assists in obtaining and maintaining confidential records as related to staff. Responsible for ordering, receiving and restocking of supplies and maintenance of departmental equipment. Responsible for Kronos editing and prepares for timecards for approval. Maintains necessary lists/forms including but not limited to admission / discharge roster, attendance lists, active registrant lists and emergency contact list. Along with other GuildCare staff, performs general assistance tasks on a regular basis as assigned by the program director. Maintains established agency, departmental, and other program policies and procedures. Sets up appointments, takes meeting minutes and maintains electronic in-service files. Responsible for new admissions data entry and discharges in the EMR. Observes and implements the registrants Bill of Rights. Collects, and maintains referral information, Performs other duties assigned by the Program Director. ADA REQUIREMENTS: Ability to sit at a desk and use a computer for several hours. Ability to talk on a telephone and cell phone. Ability to stand at a photocopy and FAX machine.
