Job Description The Catering Coordinator supports the planning, organization, and execution of catering events across campus. This role serves as the primary liaison between clients, culinary teams, operations, and service staff to ensure seamless event delivery. The Catering Coordinator ensures all events are executed in alignment with company standards, university expectations, and contractual obligations.This position requires strong organizational skills, attention to detail, excellent communication, and the ability to manage multiple events simultaneously in a fast-paced hospitality environment.Compensation DataCOMPENSATION: The Hourly rate for this position is $25.00 to $29.00. If both numbers are the same, that is the amount that Aramark expects to offer. This is Aramark?s good faith and reasonable estimate of the compensation for this position as of the time of posting. For jobs in San Francisco, this includes the San Francisco Fair Chance Ordinance.Job ResponsibilitiesEvent Coordination & PlanningCoordinate all logistical aspects of catering events from inquiry through executionWork directly with clients (faculty, staff, student organizations, external partners) to confirm event detailsPrepare event orders (BEOs) and distribute to appropriate departmentsConfirm room setups, equipment needs, menus, and service timelinesConduct pre-event walkthroughs when neededClient RelationsServe as point of contact for catering clientsRespond promptly to inquiries and provide professional, solution-oriented serviceEnsure client expectations are clearly communicated to culinary and service teamsFollow up post-event to ensure satisfactionOperational ExecutionCommunicate finalized event details to kitchen, service staff, and operations leadershipAssist with scheduling service staff for events (in accordance with CBA if union environment)Ensure events are properly staffed and aligned with labor guidelinesSupport on-site event oversight as neededAdministrative & Financial DutiesEnter and maintain event details in catering management systemAssist with invoicing and reconciliation of event billingTrack deposits, payments, and internal billing proceduresMaintain organized records of contracts, event forms, and approvalsCompliance & StandardsEnsure adherence to food safety standards and company policiesFollow internal SOPs for event approvals and posting proceduresSupport compliance with labor agreements and scheduling protocols where applicableEnsure all necessary permits or campus approvals are securedQualifications? Use logical thinking to perform a variety of office tasks that require special skills and knowledge? Make decisions based on company policy and good judgment? Follow instructions without close supervision? Speak and write clearly and accurately? Plan your own work and sometimes the work of others? Proficient with all Microsoft Applications? Requires basic accounting skills. ? Must have developed language skills to the point to be able to: Write announcements, letters, summaries, and reports, using prescribed format? Ability to work flexible hours including evenings and weekends as needed (Homecoming Weekend is manadatory)? Minimum 2 years experience preferred, 4 years experience. (in catering, hospitality, or event coordination )This role may have physical demands including, but not limited to, lifting, bending, pushing, pulling and/or extended walking and standing. This role may also require uniforms and/or usage of Personal Protective equipment (PPE).
