We are seeking a high-agency Business Manager to serve as the operational backbone for Colossal’s President and Executive Team for our Brooklyn, New York office. You will sit at the center of our Brooklyn, NY headquarters, driving alignment across departments, overseeing high-priority internal initiatives, and ensuring visions are translated into seamless, daily execution. This role will often operate fully autonomously making decisions on behalf of the President in real-time. Responsibilities include: Facilitate communication and decision-making for the President and Department Heads, acting as a key intermediary for special projects and strategic initiatives. Direct comprehensive administrative functions, including facility aesthetics, opening/closing procedures, and client-staff interfacing to ensure a superior office experience. Lead Colossal’s financial processes, including annual budgeting, monthly/quarterly analysis, and presentation of key findings to leadership. Independently analyze monthly spending to identify cost-saving opportunities and recommend process improvements that increase financial visibility and efficiency. Manage full-cycle accounts payable, oversee the company vendor database, and ensure accurate documentation and timely corporate submissions. Serve as primary liaison for Corporate Real Estate (TLC); coordinate lease documentation, building inspections, and facility-related projects to ensure regulatory compliance. Coordinate sensitive data flow (including compensation) between Operations, Executive Administration, and corporate departments like Payroll, HR, and Credit. Oversee cross-departmental projects from inception to completion, establishing clear objectives, budgets, and collaborative workflows. Manage and mentor junior-level staff, ensuring efficient office operations while providing critical support to key internal departments. Manage internal employee databases and expense reporting systems, providing staff training and ensuring real-time maintenance of information. Act as the primary liaison for third-party IT providers and oversee the procurement/onboarding of shop supplies in compliance with Risk Department standards. Serve as a Notary Public when required. Track fixed assets and capital expenditure (CAPEX) projects while supporting the Operations Director with safety program administration and compliance reporting. Drive Colossal culture by managing staff milestones and partnering with project managers on site setup and logistics for high-level client events. What we're looking for in YOU: Must possess effective supervisory and leadership skills, including active listening, proactive problem-solving, and the ability to monitor communications on behalf of the President beyond typical corporate hours. Requires an excellent command of the English language, both written and verbal, with a demonstrated ability to effectively communicate and work with individuals from diverse social, cultural, and professional backgrounds. Requires continual attention to detail in composing, reviewing, and proofreading materials, while maintaining the ability to establish priorities and meet deadlines in a fast-paced environment. Strong work ethic—someone who takes great pride in professionalism, accountability, and the ability to work both independently and as a collaborative team member. Must possess proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and Google Workspace, with advanced capabilities in Excel or Google Sheets preferred. Skill in managing standard office technology and administrative systems, including document management tools, printers, and scanners to ensure efficient operations. Must be able to exercise sound judgment and discretion when handling confidential or sensitive information while maintaining strong organizational and time management skills. A proactive problem-solver with strong business judgment. Education and experience: High School Diploma or Equivalent required. Ten (10) years of experience in outdoor advertising, business operations, administrative management, or a related field required.
