Position Overview:Learn more about the general tasks related to this opportunity below, as well as required skills.Ultimate Staffing Services is actively seeking a dedicated and detail-oriented Program Assistant to join their client's team in Florida. This position offers a fantastic opportunity to support the PAT+ program by providing essential administrative and data processing assistance. The Program Assistant will be an integral part of a collaborative team environment, working to ensure the smooth operation of program activities and services.Responsibilities:Processes all incoming referrals in a timely manner, contacting new referrals via telephone and mailed letter, and updating and tracking the status of caseloads daily.Coordinates the purchase and inventory tracking of all necessary items for office and service delivery, ensuring adequate stock is maintained.Answers phone calls and directs inquiries to appropriate staff members professionally.Provides administrative support to the team and Program Director, including reconciling petty cash and credit card bills, maintaining client case logs, scheduling appointments, opening mail, filing, and preparing correspondence.Develops agendas and minutes for internal staff meetings and maintains the Staff Meeting binder.Prepares flyers for team functions and trainings, coordinates community outreach, and maintains relevant binders for Group Connection and incentives.Interfaces with vendors, organizations, and personnel to ensure smooth daily operations, acting as a liaison to Central Registration and sending updated reports.Coordinates FSI requests with JWB using ISHIS and Share Point.Maintains data quality in the MIECHV ETO system by entering data into ETO and Penelope.Utilizes ETO software for tracking program evaluation and completes other duties as required to support program or agency needs.Knowledge, Skills, and Qualifications:High school diploma or equivalent with 3 years of clerical experience.3 years of experience as an administrative assistant in an office environment, with experience in Excel spreadsheets and programmatic data management.Proficiency in client data input for grant and state reporting systems.Excellent written and verbal communication skills.Ability to work independently and effectively.Sound judgment, dependability, and strong teamwork and communication skills.Tactful, pleasant, and friendly approach when interacting with residents, staff, guests, and community members.Capable of meeting the physical demands of the position.Flexibility in work hours and the ability to travel within Pinellas County and state as needed.Work Hours:Monday - Friday, 1st shiftBenefits:The position offers competitive pay with a range of $18 to $20 per hour.All qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
