Join us and build your career with PrimeSource today!The Talent Acquisition Coordinator provides administrative and scheduling support to the Talent Acquisition team to ensure an efficient and positive candidate and hiring manager experience. This position is strictly administrative with a focus on coordination, communication, and accurate recordkeeping to keep the hiring process running smoothly.Objectives of this RoleProvide administrative and scheduling support to the Talent Acquisition team across Operations and the Global Support Center.Coordinate interviews, prepare offer letters, and assist with onboarding activities.Maintain and update applicant tracking systems and recruitment files.Assist with preparation of job descriptions and recruitment-related documents.Support special projects as needed to meet organizational goals.Ensure all recruitment activities are organized, timely, and accurately documented.Key ResponsibilitiesInterview Coordination: Schedule and confirm interviews with candidates and hiring managers, ensuring all parties have the necessary information.Hiring Support: Assist with preparing and sending offer letters, coordinating pre-employment requirements, and supporting the hiring process from offer acceptance to start date.Onboarding Coordination: Partner with HR and hiring managers to ensure new hire paperwork, system access, and first-day logistics are complete; provide new hires with a smooth onboarding experience.Database Management: Maintain accurate and up-to-date records in the applicant tracking system (ATS); update and maintain job description database.Communication: Handle correspondence with candidates, including sending out interview invitations, follow-up emails, and onboarding instructions.Document Preparation: Assist in the preparation of job descriptions, offer letters, and other recruitment documents.Event & Project Support: Provide logistical assistance for recruitment events, job fairs, and other Talent Acquisition or HR activities. Assist with special projects as needed.Reporting: Generate reports on recruitment metrics and provide insights to the Talent Acquisition team.Required Skills and QualificationsHigh school diploma or equivalent; additional qualifications in HR or related fields are a plus.Proven experience in an administrative or coordination role, preferably within HR or recruitment.Excellent organizational and multitasking abilities.Strong written and verbal communication skills.Proficiency in Microsoft Office Suite and familiarity with ATS software.Preferred Skills and QualificationsExperience with event planning and coordination.Ability to handle sensitive and confidential information with discretion.Strong interpersonal skills and the ability to work effectively in a team environment.Work EnvironmentPrimarily an office setting Monday–Thursday with regular computer and phone use.Remote work available on Fridays.Some travel to recruitment events or job fairs may be required.Physical DemandsThis role requires regular sitting, typing, and use of office equipment.
