This is a unique opportunity for someone who thrives in a fast-paced, detail-rich environment and is passionate about making an impact in the financial services sector.This role blends traditional executive support with high-level client service, team collaboration,case flow management, and strategic planning. You will be a trusted right hand to the CEO—protecting time, managing priorities, coordinating and communicating with key stakeholders,and helping ensure our operations run smoothly behind the scenes.Key Responsibilities:Serve as the primary support to the CEO, prioritizing the calendar and case updates, coordinating with key stakeholders, scheduling meaningful meetings, managing travel logistics, and assisting with impactful business-related event planning and marketing efforts.Foster strong internal and external communication by collaborating effectively with team members and ensuring timely, professional follow-ups with stakeholders.Tackle overflow casework by efficiently drafting and processing essential paperwork. Help organize both digital and physical case files to ensure everything is in order. Stay engaged and connected with attorneys and clients, fostering positive communication every step of the way. Take ownership of all office-related duties to cultivate an organized, stocked, and efficient workplace. This includes ordering supplies, tracking and preparing for client meetings, providing crucial administrative support, implementing and maintaining effective office management systems, and coordinating staff activities and projects for success.Immerse yourself in the world of structured settlements, government benefit protections, financial products, and the settlement planning process to empower clients and stakeholders at every stage of their journey.Play a vital role in onboarding, training, and mentoring new team members, while continuously updating manuals and standard operating procedures (SOPs) to promote excellence.Manage and allocate tickets and hospitality arrangements for clients, ensuring every experience is exceptional.Support the CEO with light personal tasks, such as appointment scheduling and food orders, allowing them to focus on their vision.Qualifications:Over 5 years of impactful experience in an Executive Assistant, Operations, or high-level Client Service role, ideally within the legal or financial services sectors. A keen eye for detail, unmatched organizational skills, and the ability to juggle multiple priorities in a dynamic environment. Exceptional communication skills—both verbal and written—with a high degree of emotional intelligence. (Bilingual in Spanish is a valuable asset.) Proficiency in Microsoft Office Suite, Salesforce, and project/task management tools such as Asana, enabling effective collaboration and achievement. A proven ability to handle confidential information with integrity while adhering to legal and financial regulations.
