Your role spans client service, operations, communication, and strategic coordination"”all to enhance the client experience and support the achievement of our clients' financial goals.This role offers both client-facing and behind-the-scenes exposure, ideal for candidates eager to grow into a senior client relations role. You will work closely with experienced advisors and client relations professionals, receiving mentorship and professional development support.Primary responsibilities also include administrative support for our wealth advisors' daily business practices, including processing client account service requests, opening client accounts, account transfers, and other client-related operational needs.Key ResponsibilitiesClient Relationship Support: Act as a liaison for clients"”responding promptly to inquiries, coordinating across internal teams, and deepening relationships through attentive and proactive service that anticipates client needs.Administrative & Operational Support: Provide day-to-day administrative assistance to our client, a Wealth Management Organization's wealth advisors. This includes processing client service requests, opening and maintaining brokerage accounts (typically at Fidelity), handling ACAT transfers, initiating wires, and coordinating client paperwork with custodians.Operational Excellence: Assemble and ensure the accuracy of client deliverables such as meeting materials, financial overviews, and service-related documentation, maintaining high standards of completeness and timeliness.Wealth Solution Coordination: Collaborate with wealth advisors, portfolio managers, financial planners, third-party specialists, custodians, and other stakeholders to deliver comprehensive, integrated solutions to clients.Meeting Preparation & Support: Schedule client meetings, coordinate agendas, prepare presentation materials and meeting minutes, and ensure smooth execution.Financial Planning Data Gathering: Support the planning process by collecting and organizing client financial information, including statements, tax returns, estate documents, and insurance policies. Enter and update this data into financial planning software (eMoney) to ensure accuracy and completeness. Proactively follow up with clients to obtain outstanding information, helping advisors and our financial planning team prepare thoroughly for meetings.Document & Compliance Management: Maintain critical client records and documentation (e.g., estate/trust planning, tax planning, insurance information), ensuring compliance with audit and regulatory standards.Systems & CRM Maintenance: Utilize CRM tools, custodial platforms, and workflow software to track client projects, update records, and support service delivery.Risk & Policy Adherence: Ensure all activities align with firm policies while maintaining confidentiality, compliance, and risk mitigation.Regulatory & Compliance Support: Coordinate with the Organization's Compliance team on regulatory requirements by delivering Form ADV, CRS, and Privacy Notices to new and existing clients, tracking and documenting receipt of regulatory disclosures, assisting with client KYC/AML updates and maintaining required custodial records, and supporting the Compliance team with audit and exam requests for client documentation.Client Communication & Event Support: Assist in strengthening client engagement by drafting and sending personalized correspondence such as meeting follow-ups, account updates, and seasonal check-ins. Coordinate logistics for client events, webinars, and educational sessions, ensuring a seamless experience. Additionally, support digital communications through newsletters, marketing campaigns, and other outreach initiatives designed to enhance client relationships.QualificationsEducation: Bachelor's degree required. Interest in pursuing (within 1-3 years) advanced certifications (e.g., CPA, CFP®, CFA, or similar) strongly encouraged.Experience: 2-4 years of experience in wealth management, private banking, family office settings, or client service roles, with direct hands-on experience working with brokerage accounts, custodial paperwork, and cash/asset transfers.Additional Knowledge Preferred (not required): Familiarity with trust accounting and working with trust structures.Technical Proficiency:Advanced skills in Microsoft Office (especially Excel, Outlook, and Teams).Experience with custodial platforms (Fidelity Wealthscape preferred).Familiarity with CRM and portfolio management systems.Ability to leverage AI tools (e.g., for research, automation, or workflow optimization) to improve productivity and service delivery.Familiarity with DocuSign and digital meeting platforms (Zoom/Teams).Communication & Etiquette: Exceptional verbal and written communication skills, with a strong sense of professionalism, empathy, discretion, and business etiquette. Deep understanding and empathy of client's needs or urgencies.Personal Attributes: Highly organized, proactive problem-solver, detail-oriented, and able to manage multiple tasks efficiently in a fast-paced, collaborative environment, all while demonstrating emotional intelligence and sensitivity to client needs.
