If so, this could be the opportunity you've been waiting for!Are you the right candidate for this opportunity Make sure to read the full description below.Our client, a large HOA community in the Santa Barbara area, has an immediate need for a Office Administrator/Manager to join their team on a permanent, full-time basis.The Administrative Assistant will be the first point of contact for residents, vendors, and visitors,and will play a key role in maintaining smooth day-to-day office functions. The ideal candidatewill have prior experience in a property management setting and be proficient with AppFolioproperty management software.General clerical tasksAnswer, screen, and direct incoming calls and walk-insHandle customer inquiries and complaints from senior resident/ownersOrganize appointments and meetingsMaintain calendars and schedulesTimely distribution and posting meeting minutes, financials, correspondence, etcArrange and prepare presentations for Board packagesCompile information and update databases for ongoing projectsScan incoming correspondence and payables to AppFolioData & Document Management -Create, maintain, and update various office databasesTime sensitive legal deadlines for posting documentsMaintaining docs and files in Windows & AppFolioEnsure data securityInterface with vendors, residents and employeesMaintain office suppliesWork with the IT department to resolve problemsWork order support - Scheduling and assigning employees and follow-up as requiredCoordinate service dates with residents and vendorsFacilitate community activities like parties, celebrations, and eventsSupport of committees and managerArch & Landscape applications and formsNew Resident - update of forms and prep packagesCompliance - Violation support with citations and noticesFinance & Insurance - deliver and print reportsWater Resources - invoice download and usage trackingClubhouse - Calendaring and reservations for events and staffNewsletter - print, email and coordinate monthly distributionSocial - Eblast for events, coordinate set up and breakdownsQualifications:High school diploma or equivalent requiredBachelor's degree or equivalent strongly preferredExcellent interpersonal skillsExcellent written/verbal communicationExperience in a property management environment is preferred.Proficiency with AppFolio property management software is preferred.Strong organizational and time management skills with the ability to multitask effectively.Proficient in Microsoft Office (Word, Excel, Outlook) and general office technology.To apply, please respond to this positing with a resume and a little about yourself.
