At Catapult, we are assisting our client, a 50 year old firm with deep roots in NC, to find an experienced Project Administrator to join the team in their Raleigh, NC office. This full-time role is ideal for someone who is committed to excellence, thrives in a fast-paced environment and enjoys supporting a collaborative team.All the relevant skills, qualifications and experience that a successful applicant will need are listed in the following description.About the Role:As a Project Administrator, you'll provide vital support throughout the design and construction process"”ensuring project documentation is accurate, organized, and delivered on time. In addition to project-related tasks, you'll also help maintain smooth daily operations at our Raleigh office. This is a highly collaborative role, ideal for someone who thrives on organization, communication, and team support in a dynamic, people-first environment.Key Responsibilities:Design and Construction Support (Approx 80% of your day)Coordinate and assemble project specifications into complete, formatted spec booksTrack project deadlines and proactively support project managers and technical staffPrepare and manage AIA contracts and related documentationProcess submittals: download, log, assign reviewers, and return to contractorProcess RFIs: log, distribute for review, return responses, and maintain recordsEnsure reviewed documents are accurate, consistent, and properly filedGenerate and distribute weekly reports of outstanding submittals and RFIsMaintain CPR (Change Proposal Request) logs and file associated correspondenceOffice Administration Support (Approx 20% of your day)Open and close the office daily and assist with office upkeep and shared space organizationGreet any visitors and support a welcoming, professional front office experienceCoordinate occasional office eventsManage supply inventory, mail handling, and basic facility needsLiaise with building management and coordinate vehicle maintenance logsProvide administrative support for special projects as neededWhat You Bring:5+ years in an administrative, project coordination, or AEC (Architecture, Engineering, Construction) industry support roleAlignment with the company's core values and people-first cultureExceptional organizational skills with a strong eye for detailProficiency in Microsoft Office and PDF tools (Adobe, Bluebeam, etc.)Experience with Deltek Vision or Vantagepoint is a plusA proactive, team-oriented mindset and a desire to support others' successIf you are excited to be a part of a collaborative organization that believes in people first as well as a warm culture that feels more like a family environment than a workplace, apply to join the team today!
