Role: Executive Administrative AssistantA high number of candidates may make applications for this position, so make sure to send your CV and application through as soon as possible.Location: Newport Beach, CA (hybrid schedule)Duration: 12+ monthsAs a Department Administrative Assistant, you'll play a key role in providing a broad range of administrative and technical support to the HR leadership team.How you will make an impact:Partner, collaborate and provide comprehensive support to the HR department (department initiatives, meetings, or projects)Book business travel and submit expense reports for HR leadersMaintain and update department distribution listsCoordinate and organize events (group business meals, meetings, and training sessions)Treat and address applicable issues with utmost sensitivity and confidentialityAnticipate the needs of the HR leadership team and act accordinglyGeneral management of calendars for HR leadershipServe as a point of contact for all internal and external visitors and interact with them in a professional mannerPrepare correspondence and documents as assigned using demonstrated proficiency in written communicationComplete assigned processing, documentation, and reports using knowledge of applicable systems and contactsComplete miscellaneous tasks and projects, as assignedThe experience you will bring:2+ years of administrative experience supporting senior-level executiveStrong experience with Microsoft Office 365 applications (Excel, PowerPoint, Teams, and Outlook) and Adobe AcrobatApproachable, professional, and self-motivated individual with a positive and collaborative attitudeAbility to make independent decisions regarding planning, organizing, and scheduling workExcellent organizational skills, ability to prioritize and handle multiple tasks, independent thinking, maintaining confidentiality, use of discretion, ability to handle time-sensitive projects and adapt to changes quicklyExcellent problem solving and administrative skills to handle a wide variety of complex situationsAbility to resolve conflicts involving specific administrative responsibilitiesExtremely detailed-oriented and uses sound judgmentExcellent oral and written communication skills, ability to work well with all levels of people within the organization, inter-department coordination and organization skills
