May provide back-up support to other team staff, as neededResponsible for compliance with applicable Corporate and Divisional policies and procedures. Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable)Interact with high-level executives and handle confidential or business-sensitive informationMay include some support for tracking budget expendituresCoordinates and maintains departmental files, as assigned, in compliance with corporate and government regulationsUses and understands Microsoft Office Suite and other business-specific software, including the Corporate Travel and Expense website and employee performance management systems (as applicable)Coordinates new employee office set-ups and onboardingMay train/coordinate work for new administrative assistantsResponsible for all administrative functions for *** Patient Services, such as:Answering phonesCalendar management, proactively solving conflictsHandling Teams/Zoom and general Telepresence setups and acting as liaison for remote access issuesScheduling travel and processing expense reportsManaging correspondence and scheduling couriers as well as preparing FedEx labels and managing shipmentsOrdering office suppliesProcessing invoicesMeeting/event planning and cateringCreating or modifying business documentsPreparing presentations from source materialsPreparing binders and other large copy requestsRequesting publications/articlesOnboarding various contracted vendors; andOperates with general instruction and some supervisionSafeguard's *** confidential informationLeadership and Interpersonal Skills:Fully understands assigned tasks and any associated expectationsAsk for clarification, as neededUnderstands deadlines and deliverables; communicates obstacles that prevent completion of deadlines; provides status updates prior to deadlinesDemonstrates strong problem-solving skillsAccountable and responsible for actions/mistakesChallenges the team to always do betterPrioritizes own work, balancing multiple requests for assistanceEstablishing good working relationships with client areasBuilds rapport and trust with others; possesses good listening skillsRequirements:Some college preferredSome leadership or supervisory experience desiredExperience working in pharmaceutical company or CRO strongly preferred7+ years of previous administrative experience supporting executivesMust have intermediate-to-advanced knowledge of Microsoft Office Suite, SAP, Concur, SharePoint, Visio or OrgPlus and understanding of business processes and requirementsLearns fast, grasps the "essence," and can change course quickly, where neededJob ID: 25-47990About US Tech Solutions:US Tech Solutions is a global staff augmentation firm providing a wide range of talent on-demand and total workforce solutions.
