This role is responsible for administrative coordination, tenant relations support, financial tracking, and operational execution to ensure properties are well-maintained, financially optimized, and compliant with lease obligations.This position serves as a critical liaison between tenants, vendors, and internal teams, helping drive efficient property operations and a high level of tenant satisfaction.Job Responsibilities:Tenant & Lease Administration· Assist with onboarding new tenants, including lease abstracts and system setup· Maintain accurate tenant and lease records in property management software - Rent Manager· Track critical lease dates (rent escalations, renewals, expirations, options)· Ensure proper and current certificates of insurance are maintained by tenants· Assist with lease renewals in coordination with the brokerage team· Respond to tenant inquiries and coordinate issue resolution· Support preparation of tenant notices, correspondence, and renewalsFinancial & Accounting Support· Assist with rent roll management and verify monthly billing accuracy· Coordinate accounts receivable (rent collections, delinquency tracking, tenant follow-up)· Issue default notices and perform lockouts as required· Review and code vendor invoices for approval· Support monthly financial reporting, including variance tracking (budget vs. actual)· Assist in CAM reconciliations and annual operating expense recoveriesReporting & Administrative Support· Prepare reports including rent rolls, delinquency reports, and occupancy summaries· Maintain organized digital and physical property files· Assist in budget preparation and forecasting activities· Support special projects, tenant improvement coordination, and capital projectsOperations & Maintenance Coordination· Serve as a professional and friendly point of contact for tenants· Coordinate service requests and work orders with tenants and vendors· Track preventative maintenance schedules, completion of service, and follow up· Assist in managing vendor relationships and service contracts· Assist with tenant move-in, move-outs and coordination of access cards, keys and parking· Support property inspections and maintain inspection logs· Ensure compliance with property maintenance standards and safety requirements· Assist with daily office operations xijylhu including phones, correspondence, scheduling and document preparationVendor & Contract Administration· Maintain vendor database, insurance certificates, and W-9 documentation· Assist with bid solicitation and vendor selection processes· Track contract terms, renewals, and service performance· Ensure vendors meet insurance and compliance requirements· Coordinate vendor work ordersCandidate Preferences & Experience· 0-2 years of commercial property management experience (retail, industrial, office, mixed-use)· Hospitality experience preferred· Strong organizational skills and exceptional attention to detail· Excellent written and verbal communication skills· Proficiency in Microsoft Office Suite, Word, Excel and Power Point· Experience with management software such as Rent Manager or Yardi is a plus· Positive attitude, team player and professional, customer-focused demeanor with a collaborative mindset
