This role is in-office only with no exceptions and requires periodic travel to support events, trade shows, hospitality functions, project photography, and other marketing needs. We value people who are collaborative, positive, professional, and able to have fun and laugh along the way.Position SummaryThe Event Marketing Specialist is the day-to-day point person for events and leads execution across event workflow management, communications, content capture, and related marketing deliverables under the direction of the Marketing Manager.This role is ideal for someone with minimum 5 years of proven experience in a similar role who can show real success managing events, coordinating cross-functional communication, capturing and editing professional content, and executing marketing deliverables at a high level. We are looking for someone who can point to prior results, strong work samples, and demonstrated ownership in past positions.This position requires strong event leadership, a professional workflow, and high-level execution in photography, videography, content publishing, Adobe Creative Suite, and marketing operations. The right candidate must be comfortable leading communication across stakeholders, managing details in , working with sales and clients, and keeping projects moving with clarity and follow-through.This role also supports broader marketing needs including internal communications, social media, landing pages, HubSpot email execution, presentations, collateral, and proposal-related work. This position, along with the Marketing Design Specialist, also supports the Proposal Specialist as needed.What You'll DoLead Event Execution and CommunicationServe as the primary day-to-day point person for 100+ events annuallyOwn event workflows in , including timelines, logistics, expenses, deliverables, and executive event summariesLead bi-weekly event planning meetings and weekly event participant meetingsKeep communication clear and consistent across stakeholders, participants, leadership, vendors, and clientsWork closely with the Administration team on travel, accommodations, hospitality, and vendor coordinationManage memberships, event collateral inventory, reordering, and stock distribution across regional officesOwn Event Content and Field MarketingAttend events and play a lead role in setup, teardown, and on-site execution, including hospitality eventsCapture before, during, and after photos and videos of events and projectsTravel as needed for field content capture and project-related marketing needsUse a Sony camera and Adobe Creative Suite as part of a professional content workflowEdit and publish content for both internal and external marketing useBe open to drone use in the role; prior experience is a plus, and training will be provided as neededSupport Marketing Deliverables Across TeamsLead day-to-day communication with clients and coordinate deliverables across stakeholdersCreate landing pages in WordPress as neededIntake and execute presentation and marketing collateral requests from the sales teamBuild and send HubSpot email campaignsSupport internal marketing communications and social media executionWrite and edit strong copy for presentations, emails, social, landing pages, and collateralUse Google Suite, HubSpot, and internal resources efficiently to gather job information and complete deliverablesCollaborate Across the DepartmentWork closely with the Marketing Manager, Marketing Design Specialist, and Marketing Administrator to keep priorities movingPartner with the Marketing Administrator, who supports this role closely in day-to-day event coordinationSupport the Proposal Specialist, alongside the Marketing Design Specialist, as needed on proposal-related marketing and creative deliverablesLearn KYA's service offerings, job history, markets served, and 7+ brands under the KommunityUse AI tools such as Gemini, NotebookLM, Claude, or similar to help scale and optimize workWhat We're Looking ForBachelor's degree in Marketing, Communications, Graphic Design, Advertising, Public Relations, Business, or a related fieldMinimum 5 years of professional experience in AEC or related field with hands-on marketing roleDemonstrated success owning events, communications, content capture, and marketing execution in a prior roleAbility to show proof of strong past work, including portfolio examples, work samples, campaign materials, event experience, or measurable accomplishmentsStrong experience managing high-volume event workflows, recurring planning meetings, stakeholder communication, and event follow-throughHigh-level proficiency in Adobe InDesign, Illustrator, Photoshop, Lightroom, and Premiere ProProfessional experience capturing, editing, and publishing photo/video content using a Sony camera or similar professional equipmentExperience with or a similar project management platformExperience using HubSpot, Google Suite, and WordPressStrong copywriting, communication, and organizational skillsExperience creating presentations, sell sheets, case studies, collateral, and related marketing materialsAbility to work in a fast-paced, collaborative, feedback-driven environmentWillingness to travel as needed, support hands-on event setup and teardown, and lift or carry materials up to 50 lbs.Portfolio / Work SamplesA portfolio or work samples is a plus, but not required.Candidates may submit materials in Canva or another presentation format, but the work shown must demonstrate professional-level execution developed in Adobe Creative Suite, not Canva exclusively.We are looking for proof of execution, not just familiarity.
