Collections Specialist - Finance DepartmentLocation: Hybrid (3 Days Onsite | 2 Days Remote)We are seeking a proactive and detail-driven Collections Specialist to join our Finance Department. Reporting directly to the Director of Finance, this individual will play a critical role in optimizing the firm's billing and collections processes, working closely with attorneys and key stakeholders to ensure timely payments and reduce aged receivables.Key Responsibilities Partner with Billing Attorneys to facilitate and enhance collection efforts. Proactively contact clients to follow up on outstanding invoices, as directed by attorneys. Review and monitor aged accounts receivable to identify items requiring follow-up. Provide regular status updates to attorneys on outstanding balances. Send payment reminders and invoice copies to clients, ensuring a professional and consistent tone. Prepare and send collection letters upon attorney approval. Process approved write-offs of accounts receivable in accordance with firm policy. Track and manage invoice statuses on e-billing platforms, resolving rejections or issues promptly. Investigate and analyze invoice deductions, assisting in the development of solutions to prevent recurrence. Maintain and update spreadsheets for aged receivables and appealed invoices, including detailed notes and follow-up timelines. Collaborate closely with Partners, the COO, Collections Manager, and the Billing and Accounting teams. Support special projects and handle ad hoc tasks as assigned by leadership. Qualifications Bachelor's degree required. Minimum of 3 years of experience in a collections role, ideally within a law firm or professional services environment. Familiarity with Aderant and e-billing platforms is a strong plus. Proficiency in Microsoft Excel and Word. The Ideal Candidate Self-starter with a strong sense of accountability and initiative.
