Executive AssistantLocation: Grand Rapids, MI | HybridEmployment Type: 25-40 Hours | PermanentPay Rate: $25-$35/Hr The Executive Assistant will provide high-level administrative and office support to Executives/Management. Their responsibilities include managing calendars, coordinating meetings, handling travel arrangements, and ensuring smooth office operations. Key Responsibilities of the Executive Assistant: Calendar Management: Scheduling, rescheduling, and managing Executive calendars, including internal and external meetings, appointments, and events. Assisting in the minimization of interruptions to the Executive in a friendly and professional manner. Travel Arrangements: Making travel arrangements, including booking flights, hotels, and transportation, and managing itineraries. Meeting Coordination: Organizing and coordinating meetings, setting up meeting rooms, preparing agendas, welcoming guests, coordinating food and facilities, note taking. Communication Management: Acting as the point of contact for the executive, screening phone calls and emails, and distributing correspondence. Document Management: Organizing, maintaining, and updating documents. Office Support: Performing a variety of administrative tasks, such as answering phones, greeting visitors, and managing office supplies. Expense Reports: Administering expenses on behalf of the executive. Project Support: Assisting with projects and tasks, such as preparing presentations, conducting research, and managing deadlines. Communication and Coordination: Facilitating communication between the executive and other staff, clients, and external partners. Requirements of the Executive Assistant: Aligned with or respectful of faith-centered mission and practices. Strong organizational and time management skills. Excellent communication skills, both written and verbal. Proficiency in Microsoft Office Suite and other relevant software. Ability to work independently and prioritize tasks. Strong problem-solving and decision-making skills. Ability to handle sensitive information with discretion and confidentiality. Experience with project management and office administration.
