Location: Waltham, MA preferred, ONSITE ONLY Secondary hire location, Hopewell, NJ (08534)ONSITE ONLY Required educational background or certification: 3+ years experience as an Executive or Administrative Assistant or comparable level of experience and demonstrated ability in either current or prior positions to interact with senior level executives. Tool proficiency, skilled with calendars, and office software (excel, word, PowerPoint). MS Teams and OneDrive is a plus! Deal-breaker items This is an in office position. The executives supported routinely and regularly begin their meetings at 8AM ET. Inability to support 3 leaders 2 will be remote. Top 3 Skills Preferred skills/experience Tool proficiency, skilled with calendars, and office software (excel, word, PowerPoint). MS Teams and OneDrive is a plus! Characteristics of the top performer Exceptional organization skills, ability to multitask, attention to detail. Strong communication skills including written skills and discretion. High EQ ability to anticipate needs, understand the executives preferences and proactivity solves problems. Big picture awareness; understands the executives goals and aligns support accordingly. Overview of the work being done What are the daily responsibilities and/or priorities? Does the role involve client interactions? Any example projects and expected end-result? Time and energy management calendar mastery, travel logistics. What is the interview process? (one video/in person required) Are there multiple interview steps they should be made aware of? Webex first, with video, followed by in person. Work location: Are there other locations available besides Charlotte? The locations are Waltham, MA or Hopewell, NJ. Not Charlotte. What is the project they are working on and/or selling points of the role In Employee Technology Services, our Mission is to provide an exceptional and modern employee technology support and servicing experience. To do this, we must constantly and consistently deliver service improvements while managing those services to maximize efficiency and control expense. The successful candidate will support 3 leaders in Employee Technology Support, including the Chief Operating Office (COO) and join a team of professionals dedicated to driving the strategic alignment of our financial, workforce, employee engagement, business operations and risk controls to enable responsible innovation of our business. Business Justification Contractor needed to support ETS COO and additional Senior Executives Required Qualifications 3+ years experience as an Executive or Administrative Assistant or comparable level of experience and demonstrated ability in either current or prior positions to interact with senior level executives Ability to work independently, multi-task, manage time wisely, handle confidential and sensitive material with highest degree of integrity, a self-starter Strong executive presence; superior interpersonal communications skills Advanced proficiency/knowledge of Microsoft Outlook, Word, Excel, PowerPoint. Excellent attention to detail and organizational skills Pro-active attitude with ability to stay focused and maximize time efficiently Event coordination experience (e.g., associate meetings/recognition events, etc.) Experience managing executive calendars, making travel arrangements and expense management, and booking travel for team/executives Teamwork - must foster collaboration and trust among team members and business partners Desired Qualifications Proficiency in Webex and Teams Experience with othertechnology applications (i.e. Share Point, GEP Smart, Concur, and etc) Administrative Services Attention to Detail Customer and Client Focus Planning Prioritization Adaptability Collaboration Event Planning Office Administration Problem Solving Facilities Management Oral Communications Recording/Organizing Information Research Written Communications
