Payroll Specialist On-site | Dayton, OH $48k-$52k Position Summary of Payroll Specialist: Our client is seeking a detail-oriented and dependable Payroll Specialist to manage their biweekly payroll process for approximately 75 employees. In this role, you will ensure timely and accurate payroll processing, assist with accounts payable functions, and support general administrative filing. Key Responsibilities of Payroll Specialist: Payroll Processing (Primary - 60%) Prepare and process biweekly payroll for approximately 75 employees (exempt and non-exempt). Verify timesheets, calculate hours and ensure accuracy of deductions, benefits, and tax withholdings. Maintain employee payroll records in accordance with legal requirements and organizational policies. The payroll specialist will respond to employee inquiries regarding pay, time off, and deductions. Collaborate with HR to ensure new hire, termination, and employee change data is properly reflected in the payroll system. Ensure compliance with federal, state, and local payroll laws and regulations. Accounts Payable Support (25%) Assist with reviewing and coding vendor invoices. Help process check runs and electronic payments. Reconcile payable accounts and resolve discrepancies. Maintain vendor records and W-9 forms. Administrative and Filing Support (15%) Maintain digital and physical filing systems for payroll, payables, and HR documents. The payroll specialist will support audit preparation and records retention processes. Assist with compiling reports and documentation for grant or compliance reporting as needed. Qualifications of Payroll Specialist: 2+ years of payroll experience , preferably in a nonprofit or similarly structured organization. Working knowledge of payroll systems (e.g., ADP, Paychex, Gusto, or similar). Familiarity with accounts payable processes. Strong attention to detail, confidentiality, and accuracy. Excellent organizational and time-management skills. Ability to work independently and as part of a team. Proficiency in Microsoft Office Suite (especially Excel) and experience with cloud-based document systems (e.g., Google Drive, Dropbox). High school diploma or equivalent required; associate's or bachelor's degree in accounting, business administration, or related field preferred. #INSEP2025
