Administrative Assistant Location: Denver (onsite0 Salary: $55,000-$58,000 annually Schedule: Monday-Friday, 8 hours/day, no overtime expected Our client is looking for a full-time Administrative Assistant to join a small, collaborative office environment. This role is 100% onsite and offers a dynamic mix of purchasing, sales support, and general office administration. The ideal Administrative Assistant will be comfortable working independently or with a small team, and thrive in both quiet and active settings. Key Responsibilities: Purchasing Department Support (40%) The Administrative Assistant will play a critical role in supporting purchasing operations across North America. Responsibilities include: Processing purchase requisitions and creating purchase orders Managing PO change orders, delivery dates, and return-to-vendor transactions Communicating with vendors and accounting to resolve invoice and payment issues Generating and maintaining backorder reports and open PO reports Coordinating supplier documentation and updates to supplier trackers Verifying requisitions and updating purchase orders in SharePoint Participating in purchasing meetings and SOP calls Sales Department Support (40%) The Administrative Assistant will assist with trade show logistics and marketing coordination: Managing trade show calendars, booth setup, registration, and costs Organizing and shipping print materials, branded merchandise, and giveaways Maintaining inventory of promotional items and coordinating selections with sales Booking event spaces and supporting remote site needs during peak seasons Managing sample warehouse inventory and coordinating product purges and replenishment General Office Administration (20%) The Administrative Assistant will ensure smooth day-to-day office operations: Ordering and restocking kitchen and office supplies Watering plants, checking mail, and coordinating lunch orders for meetings Supporting internal teams with ad hoc administrative tasks Qualifications: Must-Haves: Prior experience in purchasing or administrative support Familiarity with ERP systems Proficiency in Microsoft Office (Outlook, Excel, Word) Strong written and verbal communication skills Ability to convert documents using Adobe (Word/PDF) Comfortable with basic Excel functions for tracking trade show timelines Nice-to-Haves: Experience supporting sales or marketing teams Exposure to inventory or sample management Familiarity with SharePoint Work Environment & Culture: This Administrative Assistant will join a small office with a team that values independence, initiative, and flexibility. Business casual dress is expected-jeans are fine, but no t-shirts. The office tends to run cold, group lunches are occasionally coordinated. While the role is onsite, occasional work-from-home flexibility is allowed during inclement weather or personal emergencies.
