Admin Assistant White Plains, NY- ONSITE 12+ Month Contract Shift: 8:00am to 5:00pm Pay Range: $20-25 per hour, W 2 Possible OT ****data entry into Quickbooks (Quickbooks experience a plus) Some basic accounting/AR functions, with heavy focus on Data Entry**** Mainly the candidate should have more admin/reception/data entry experience with organizing, scanning, filing, phone, data entry etc. The role is very monotonous as mail is heavy and done daily and requires quick turnaround and requires one to be able to organize, decipher and work independently and simultaneously with other activities. Excel and PDF knowledge is really key. As an Administrative Assistant, you will perform a wide range of administrative duties that support the smooth operation of the CT Business Licensing organization. You will engage with multiple teams, handle complex tasks, and manage important documentation. Your attention to detail and organizational capabilities will help maintain an efficient and effective workplace. You will report to the Associate Director, Operations and work under the leadership of the Director, General Management. Essential Duties and Responsibilities : Welcomes occasional guests by greeting them in person or by telephone. Answering and directing all incoming telephone calls and routing to the appropriate individual/department. Scans, logs and routes all incoming mail. Maintains integrity of mail tracking database to ensure all incoming mail is accounted for and no correspondence is lost. Collaborates with all departments and remote employees. Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing expediting and verifying receipt of supplies. Assist Accounting department with syncing invoices, receiving payments, and collection activity tasks. Assist with in-office event coordination as needed. Answering and routing calls Outlook Excel Attention to detail.
