Job Title: Administrative Services Coordinator Location: Houston, TX (Onsite) Start/End Dates: 10/13/2025 2/13/2026 Hours: Monday Friday, 8:00 AM 5:00 PM Extension: Possible Potential to Convert to FTE: Yes Summary The Administrative Services Coordinator provides administrative support to a department or manager. Responsibilities include answering and screening calls, greeting customers, handling complaints, and managing day-to-day administrative operations. Key Responsibilities Administrative Support: Provide general office support including document handling, filing, and coordination of routine tasks. Draft, prepare, and distribute correspondence. Perform calendar management, scheduling, meeting coordination, filing, and copying. Communication & Customer Service: Answer incoming phone calls, direct inquiries, and provide assistance to internal and external stakeholders. Manage email communications, respond to inquiries, and maintain professional correspondence. Greet customers and resolve complaints as needed. Records & File Management: Maintain tenant, vendor, and property files (including insurance certificates and lease abstracts) in accordance with standards. Open and track work orders, coordinate vendor assignments, and monitor progress. Lease Administration Support: Prepare internal lease administration documents (e.g., lease abstracts). Assist with lease setup, updates, and reporting. Financial Administration: Code invoices for payment, input into accounting systems, and forward to accounting for processing. Administer accounts payable and accounts receivable. Prepare A/R status worksheets and reconcile accounts. Initiate rent collection correspondence and phone follow-Client when permitted by state regulations. Must-Have Skills Strong comprehension and interpretation of instructions, memos, and correspondence. Ability to write routine reports and professional correspondence. Customer service skills for handling client, coworker, and supervisor inquiries or complaints. Basic presentation skills for internal communications. Working knowledge of financial terms and principles. Ability to perform basic calculations (percentages, figures). Problem-solving in standard situations with basic analytical skills. Qualifications Education: High School Diploma or GED required. Experience: 0 2 years in a related field. Technical Skills Proficiency with Microsoft Office Suite. Basic computer skills.
