Job Description

*Position Title*: Shelter & Emergency Services Operations Coordinator *FLSA*: Exempt*Department*: Shelter & Emergency Services (Haven Center) *Location*: Lorain*Reports to*: Chief of Staff *Full Time/Part Time*: F/T*Position Summary: *Under the Chief of Staff, the S&ES Operations Coordinator provides daily oversite and assistance for shelter operations including supervision of staff, inventory control, agency referrals, intake applications, center files and statistical reports. The SESC OC is also responsible for the security of Haven Center residents and team members in addition to the provision of accurate and complete record keeping.*Supervisory Responsibilities: * Supervises all Shelter and Emergency Services monitor staff including security team with direction from the Chief of Staff. Oversees janitorial crew when they are present onsite.*Essential Job Functions: *· Maintains schedules for shift coverage, monitors and approves time cards· Oversight of shelter monitor staff in coordination with HR regarding hiring, compliance with agency policy and procedure, supervision and evaluation of job performance.· Provides on call coverage in coordination with other supervisory staff· Makes rounds to ensure program rules and staff responsibilities are adhered to· Creates and monitors incident reports while providing assistance to staff regarding proper incident reporting procedures· Obtains police reports for all related incidents and maintains file· Communicates incidents, concerns and/or events to Chief of Staff or CEO as required· Assesses individual and family admission to center, ensures proper completion of all intake forms, referrals and required filing of documentation· Maintains resident files for accuracy and compliance· Compiles statistics and prepare reports as assigned, compiles statistics, prepares reports, monitors and reports use of funding· Maintains inventory and ordering of building supplies including PO submissions· Submits work orders to maintenance portal for Emergency Services facility and property· Oversees Second Harvest Food Bank Compliance· Monitors Federal and local grant compliance including: CACFP, CDBG,EFSP· Oversees and monitors interns assigned to Shelter program· Collaborates with Fund Development team for grant reporting, success stories and statistical data.· Attends trainings, tabling events and community based meetings as required representing Neighborhood Alliance.· Communicates with security team and Director of Operations regularly regarding safety of site and surrounding property.*Additional Job Functions: *· Oversees HMIS (Homeless Management Information System) Data Entry and Reporting· Checks and maintains current roster of participants, job schedules and/or special needs· Assigns and supervises chore lists appropriate to residents abilities· Coordinates with other Neighborhood Alliance programs to support residents· Performs other duties as assigned*Necessary Education and Training:*· Associate’s degree required, Bachelor’s degree preferred· Detail oriented and organized· Must demonstrate good writing and verbal skills· Experience working with low income individuals and families preferred· Data Entry, Microsoft Excel and Word experience required· Ability to remain calm and think clearly in a crisis is essential*Physical Demands: *In order to perform the essential functions of this position successfully the employee may be required to sit, stand, reach, lift, bend, kneel, stoop, climb, push and pull items weighing 50 pounds or more. This position requires manual dexterity, auditory and visual skills, and the ability to follow written or oral instructions and agency procedures. All functions must be able to be performed with or without reasonable accommodation.*Typical Working Conditions: *This position operates in a homeless shelter/residential type environment.
