Job Description

*Summary*The Contract Coordinator position will assist in the preparation, review and administration of the contractual procedure relating to the Pour in Place Safety Surfacing projects. Is responsible for securing all necessary approvals and ensures that standard company procedures are followed. Duties include reviewing contract terms and conditions, analyzing potential risks involved with certain contract agreements and helping departments understand the information outlined in the contract. Maintain and monitor all projects from start to completion adhering to compliance requirements stipulated within the contract/supporting documents.*Essential Duties and Responsibilities*Day-to-day duties and responsibilities of the Contract Coordinator may vary depending on the size and complexity of the project. Responsibilities include:*Contract Review and Redlining:** Review Bid Packages to identify and flag unfavorable or risky terms and conditions and/or prepare Bid Documents* Review client contracts, subcontracts, and purchase orders to identify and flag unfavorable or risky terms and conditions.* Analyze terms relating to scope, payment, indemnity, insurance, schedule, dispute resolution, liquidated damages and termination.* Draft and propose appropriate redlines, amendments, and addenda.*Cross-Departmental Coordination:** Liaise with internal departments including Operations, Risk Management, Accounting, and Project Management, to gather feedback and ensure contract requirements are feasible and understood.* Distribute relevant contract terms (insurance limits, payment terms, schedules, etc.) to appropriate departments for compliance.*Client Communication:** Communicate directly with clients and their legal teams to explain proposed revisions and negotiate contract terms.* Track contract revisions, negotiations, and approvals in an organized, efficient manner.*Compliance Oversight:** Interpret and ensure compliance with Purchase Order terms and conditions.* Understand and review insurance requirements, certificates of insurance (COIs), and any required endorsements.* Identify and track requirements for Payment and Performance Bonds, ensuring proper documentation is in place.* Identify and track requirements for Labor Compliance, to ensure proper documentation is in place.* Ensure compliance of state, county, and city licensing or permits.*Documentation and Record-Keeping:** Maintain organized records of all contract reviews, redlines, communications, and final executed versions.* Assist in the development and maintenance of standard contract language and templates.* Gather project information and process into the Contract/Project Management System* Ensure all deadlines and compliance conditions are met* Attend weekly Production Meetings and prepare project reports/updates if necessary* Ensure all State and City Licenses have been acquired for upcoming projects and work directly with the License Department.The Contract Coordinator should demonstrate high levels of integrity and accountability.* Experience in contract review and negotiation, preferably in the construction or contracting industry.* Strong familiarity with contract law, insurance requirements, bonding documentation and labor compliance.* Proficient in reviewing legal and contractual documents with a strong attention to detail.* Excellent written and verbal communication skills for client and team correspondence.* Ability to interpret legal and technical language in contracts and Purchase Orders.* Familiarity with Payment and Performance Bonds related to documentation.* Strong organizational skills and ability to manage multiple contracts concurrently.* Basic understanding of the estimating process* Basic understanding of accounting practices*Education and/or Experience*Minimum of 1-2 years of experience with construction-specific contracts such as AIA or client-generated agreements.Minimum of 1-2 years’ experience working with Contracts, Proposals, Estimates and Bid Package*Travel*none*Computer Skills*Knowledge of Microsoft Applications (Excel/MSWord/SharePoint/Teams), Adobe, DocuSign, BuilderTrend, ProEst, Dynamics (Accounting System), Hubspot and Smartsheet*Other Requirements** Attention to detail* Must be able to meet deadlines* Ability to multi-task* Friendly, works well in a collaborative environment* A problem solver who works well autonomously* Computer and general technological abilities* Communicate effective and professionally* Critical thinking and problem solving* Punctuality and reliability* Occasional deadlines may require extended work hours.Job Type: Full-timePay: $68,000.00 - $72,000.00 per yearBenefits:* 401(k)* 401(k) matching* Dental insurance* Disability insurance* Employee assistance program* Flexible schedule* Flexible spending account* Health insurance* Health savings account* Life insurance* Paid jury duty* Paid time off* Retirement plan* Vision insuranceAbility to Commute:* Tempe, AZ 85281 (Required)Ability to Relocate:* Tempe, AZ 85281: Relocate before starting work (Required)Work Location: Hybrid remote in Tempe, AZ 85281
