Our commitment to quality, safety, and customer satisfaction sets us apart in the industry.*Position Summary:*We are seeking a highly organized and professional Administrative Assistant / HR Assistant to support the daily operations of our office and assist the President directly. This multifaceted role will be responsible for a variety of administrative tasks including HR support, credit card reconciliation, answering phones, managing mail, and providing executive-level support. The ideal candidate is detail-oriented, resourceful, and capable of handling sensitive information with discretion.*Key Responsibilities:**Administrative Support:** Provide direct administrative support to the President.* Answer and route incoming phone calls in a professional and courteous manner.* Assist with answering incoming phone calls; this position supports a high-volume call environment and requires excellent communication and customer service skills.* Greet and assist visitors by managing front door access in a timely and professional manner.* Sort, distribute, and manage incoming and outgoing mail.* Order office supplies and manage general office organization.* Book travel for executive president.* Create PowerPoint presentations.* Review project cost and provide feedback on financial reports.* Manage overall office organization, including filing, maintaining a tidy workspace, and taking out the office trash every Friday.* *Thrive in a fast-paced environment while maintaining accuracy, professionalism, and a positive attitude. **HR Assistance:*· Assist with onboarding and offboarding processes, ensuring all required documentation is accurately completed and securely maintained.· Maintain up-to-date and confidential employee personnel files.· Support HR compliance by tracking required documentation, certifications, and regulatory deadlines.· Coordinate interview scheduling and assist with various HR administrative tasks.· Serve as backup support for time entry and timesheet validation in the UKG Ready payroll system to ensure accurate and timely payroll processing.· Demonstrate a high level of honesty, integrity, and professionalism when handling confidential employee information and supporting HR and payroll functions.*Accounts Payable (Light Duties):** Reconcile company credit card statements and gather supporting receipts.* Assist in verifying and coding invoices as needed.* Work closely with the finance team to ensure timely submission of expense reports.*Qualifications:** High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.* 5+ years of experience in an administrative or HR support role.* Basic understanding of accounts payable processes is a plus.* Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams).* Strong organizational skills and attention to detail.* Excellent written and verbal communication skills.* Ability to maintain confidentiality and handle sensitive information with discretion.* Professional demeanor and ability to interact effectively with leadership and staff.*Preferred, but not required* *bilingual in English and Spanish to effectively communicate with a diverse workforce.**Work Environment:** Office-based position, Monday through Friday. 8am – 5pmJob Type: Full-timePay: $20.00 - $23.00 per hourBenefits:* Dental insurance* Health insurance* Life insurance* Paid time off* Vision insuranceSchedule:* 8 hour shift* Day shift* Monday to Friday* Weekends as neededLocation:* Humble, TX 77396 (Preferred)Ability to Commute:* Humble, TX 77396 (Required)Ability to Relocate:* Humble, TX 77396: Relocate before starting work (Required)Work Location: In person
