*BASIC FUNCTIONS*Office Administrator is responsible for handling the day-to-day administrative tasks like supporting Yonkers based executives as an executive assistant, greeting guests and customers, and monitoring office supply inventory. This individual will also support the sales operations team in an administrative capacity. This will include filling in when sales representatives are out of the office or when volume requires it as well as pulling/scrubbing reports, maintaining data and sharing information with the sales team as necessary. This individual has the responsibility and authority to carry out assigned tasks.*SPECIFIC DUTIES** Answering inbound calls, manage inbound Faxes, Voicemails, and USPS mail.* Greeting visitors and facilitating visitor prescreening.* Maintains access to visual compliance to screen visitors.* Oversee daily facilities management activities.* Maintain and manage vendor maintenance schedules and maintenance records.* Maintain conference room calendar schedule and ensure conference room is prepared for all meetings.* Manage the Lunch Program for corporate office and maintaining the appearance and cleanliness of the break rooms and kitchen.* Collecting and maintaining COIs from vendors providing services at CTG locations* Purchasing office supplies with company purchasing policies and budgetary restrictions.* Maintain 6S throughout the office environment.* Supporting Sales with daily functions as needed.* Assist in coordination of all company events including parties, corporate events, and employee outings.* Act as the point of contact and communications hub among executives, employees, clients, and other external partners.* Manage information flow in a timely and accurate manner.* Assist with special projects as needed.*STANDARD REQUIREMENTS*Comply with all requirements of International Standard ISO9001 and ISO27001, NIST 800-171, CMMC – Cyber Security and Informational Data Security Requirements. Aerospace Management System Standards AS9100, AS9120, IDEA-QMS-9090, ASA-100 and supporting construct standards AS6081, IDEA-STD-1010, AC7402-CAAP, CCAP-101, FAA AC00-56, ANSI/ESD S20.20. All employees shall commit and comply with the requirements of AS5553 for Counterfeit Electrical, Electronic and Electromechanical (EEE) Parts – Avoidance, Detection, Mitigation and Disposition practices.*EDUCATION / EXPERIENCE / COMPETENCY ** High school diploma or equivalent.
