Job Description

We’re seeking a sharp, detail-oriented Operations Coordinator to support the internal operations of a group of real estate-related businesses, including a luxury home builder, a private real estate investment firm, and a boutique brokerage. This is a hands-on, behind-the-scenes role for someone who thrives on organization, communication, and operational follow-through. You’ll be the person making sure details are tracked, files are managed, and nothing slips through the cracks.⸻Key ResponsibilitiesGeneral Coordination* Support daily operations and ensure key tasks are completed on time* Maintain digital file systems, checklists, and task trackers* Schedule internal meetings and maintain agendas and action items* Update CRM systems and internal tools* Handle administrative tasks and follow-ups as directed by leadershipConstruction & Builder Support* Track build timelines, permitting, inspections, and vendor documentation* Organize and store critical documents (contracts, COIs, lien releases, warranties)* Assist in coordination between design, build, and accounting teams* Maintain clean, updated project files and construction recordsInvestment & Capital Support* Maintain investor documentation and wire confirmations* Organize PPMs, project updates, and investor communication templates* Track funding milestones, timelines, and reminders for compliance* Provide light administrative support for capital calls and reportingBrokerage & Transaction Support* Help organize property listings and transaction folders* Ensure real estate files are complete, compliant, and up to date* Support listing marketing, photography scheduling, and MLS input* Maintain CRM and pipeline tracking for buyer and seller activityTechnology & Tools* Keep CRM, task boards, and internal software systems updated* Troubleshoot minor tech issues and escalate when necessary* Assist with formatting and organizing digital assets and marketing filesWhat You Bring:* 2–4 years of operations, coordination, or administrative experience* Strong organizational and multitasking skills* Experience in real estate, construction, or investment settings is a plus* Proficiency in Google Workspace, CRMs, and task management tools* Professional communication and a self-starter mindsetBonus Skills (Not Required):* Familiarity with permitting, real estate compliance, or investor relations* Experience using MLS, Canva, or construction platforms like Buildertrend or Monday.com⸻Why This Role Matters:This position supports three tightly integrated businesses and plays a vital part in keeping operations smooth and organized.
