*About Us*Mission Darkness is an e-commerce brand, specializing in the design and production of bags and enclosures. Our products serve a critical role for law enforcement, military personnel, and privacy-conscious individuals. Operating through Amazon, our Shopify store, and a network of distributors, we maintain a bustling warehouse where our dedicated employees handle all shipping and assembly with precision and care.*Your Role*The Office Manager plays an important role in keeping our team connected across multiple locations and work styles. This position requires someone who is highly organized, detail-oriented, communicative, and proactive. They will be responsible for managing our physical workspaces, coordinating events, supporting executive leadership, and helping foster a cohesive company culture—including both in-person and remote teams.*Key Responsibilities**Office & Facilities Coordination** Serve as the primary point of contact for our main office, ensuring it runs smoothly and stays well-stocked and organized.* Answer phones as needed and direct calls.* Maintain and restock the supply room, manage supply inventory, and reorder office essentials as needed.* Keep common areas, kitchen, and fridge clean, well-organized, and stocked with snacks, drinks, and supplies.* Work with office and outside vendors to coordinate cleaning, events, and other services as needed.* Receive and distribute incoming packages, and coordinate outgoing shipments when necessary.* Welcome visitors and guests professionally, creating a warm and organized first impression.* Rearrange or prepare the office setup for special events, team lunches, meetings, and gatherings.* Visit two other local office locations weekly/as needed to perform similar duties, ensuring all spaces are functioning efficiently and meet company standards.* Ensure office spaces meet basic health, safety, and accessibility standards.* Keep emergency contact information, evacuation plans, and first-aid supplies updated.*Company Events & Culture Building** Plan and execute in-person events.* Organize annual company-wide events- Include remote employees in events where possible and develop virtual activities to strengthen remote team culture.* Manage event logistics, budgets, transportation, accommodations, catering, and contingency plans.*Administrative Support** Track office-related expenses, vendor agreements, receipts, and supplies. Submit to company controller for bookeeping.* Coordinate basic onboarding logistics (workspace setup, welcome gifts, building access, office tour and orientation, etc.)* Assist with shared calendars, meeting space bookings, and internal coordination as needed—most staff will manage their own scheduling, but support may be required occasionally for larger meetings or cross-team coordination.* Occasionally assist with booking meetings or travel for team members attending conferences or company events.*Executive Assistant Duties (Supporting the CEO)** Maintain oversight of CEO’s personal and business calendars, ensuring no conflicts with family obligations or key events.* Book personal and professional travel (flights, hotels, reservations, etc.)* Schedule personal appointments, dinners, and special events* Provide logistical support for meetings and travel as needed* Occasionally meet with vendors at the CEO’s residence or assist with home-related scheduling and coordination* Drive or relocate the CEO’s vehicle for scheduled appointments or maintenance—must be comfortable and responsible behind the wheel* Handle all responsibilities with confidentiality, professionalism, and attention to detail*Required Skills & Traits** Exceptionally organized, detail-oriented, and efficient with time and resources.* Strong communication and interpersonal skills.* Proactive, solution-oriented, and capable of managing multiple priorities independently.* Friendly, positive, and committed to supporting a connected, thriving team culture* Experience in office management, event planning, or executive assistance is highly preferred.Job Type: Full-timePay: $60,000.00 - $80,000.00 per yearBenefits:* 401(k) matching* Dental insurance* Health insurance* Paid time offSchedule:* 8 hour shift* Monday to FridayWork Location: In person
