*Job Summary*We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong leadership skills and be adept at managing various administrative tasks, including vendor management, and event planning. This role is crucial in maintaining an efficient office atmosphere while supporting staff and enhancing productivity.*Responsibilities** Oversees daily office activities ensuring smooth day-to-day operations including managing supplies, equipment and facilities.* Oversee incoming mail, filing and forwarding postage to appropriate departments and parties.* Oversee calendar management for executive staff, scheduling meetings, and coordinating appointments.* Operate and maintain phone systems, ensuring effective communication within the office.* Supervise administrative staff, providing guidance and support to enhance team performance.* Handle vendor management tasks, including negotiating contracts and maintaining relationships with suppliers.* Serve as the front desk point of contact, welcoming visitors and handling inquiries professionally.* Perform clerical duties such as filing, data entry, and document preparation to support office operations.* Plan and coordinate company events, ensuring all logistics are managed effectively.* Overseeing list of vendors ensuring proper documentation is on file for all.* Oversees insurance for all entities in matters of payment, applications and renewals.*Qualifications** Proven experience as an Office Manager or in a similar administrative role.* Strong knowledge of administrative systems and processes.* Excellent calendar management skills with the ability to prioritize tasks effectively.* Familiarity with phone systems and office technology.* Experience supervising teams and managing staff performance is preferred.* Proficient in vendor management practices with strong negotiation skills.* Exceptional front desk etiquette with excellent communication skills.* Solid clerical skills with attention to detail in all tasks performed.* Experience in event planning is a plus; ability to manage multiple projects simultaneously is essential.Join our team as an Office Manager where you will play a vital role in creating an organized and efficient workplace that supports our mission!
