Job Description

*Overview*The Office Coordinator will be responsible for managing administrative and office support tasks to ensure smooth operations within the company. The role requires a highly organized individual with excellent communication skills and the ability to multitask and prioritize effectively. Strong problem-solving skills are essential, as the Office Coordinator will be expected to proactively identify issues, develop solutions, and implement improvements to enhance office efficiency and support team productivity.*Duties** Accounts Receivable / Payable Reporting: Process incoming payments, including checks and ACH transfers, and ensure timely application to customer accounts. Manage the full cycle of accounts payable, including invoice verification, coding, and data entry, as well as scheduling and processing payments. Prepare accurate month-end AR/AP reports to support financial reconciliation, cash flow forecasting, and internal analysis.* Mail Handling: Retrieve and process incoming mail from the PO Box, ensuring timely distribution and follow-up.* Certificate of Insurance (COI) Management: Process client COI requests with information from Insurance Agent.* Travel Package Compilation: Prepare travel plans for Account Development personnel and the President.* Paid Time Off / Admin Calendar: Manage the Admin Calendar for PTO and Work From Home days.* Office Supply Ordering: Oversee the ordering of office supplies to ensure stock is maintained.*Requirements** Excellent organizational and multitasking abilities.* Strong communication skills.* Proficient in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks Online.* Experience with accounts receivable and collections processes.* Knowledge of travel planning and coordination.* Demonstrates discretion and sound judgment in handling sensitive and confidential information.If you are ready to take on this exciting opportunity as an Office Coordinator, we invite you to apply and contribute to our team's success!Job Type: Full-timePay: $40,000.00 - $45,000.00 per yearBenefits:* Health insurance* Paid time off* Retirement planSchedule:* Day shift* Monday to FridayApplication Question(s):* How many years of experience do you have using QuickBooks Online?* How many years of experience do you have using Microsoft 365?Work Location: Hybrid remote in Valparaiso, IN 46385
