Business AreaAt Empire Today, our General Office team supports the front and back office functions of the organization. The general office performs the function of co-ordination of various departments and as such, it acts as a general reserve to assist the activities of other departments. This function is vital to the operation which supports the continued success of Empire Today. ResponsibilitiesThis Office Manager/Branch Accountant position is responsible for managing and coordinating the day-to-day general office operations as well as owns full oversight of financial transactions within the local branch office. This position is expected to hold accountable all company defined office protocols and processes which are in place for maximum expense control and productivity of the staff. This position is also responsible for the direct supervision of both the accounting and general office department personnel/ The Office Manager/Branch Accountant reports to the Market Manager. Supervise the daily operation of general office staff; to include hiring, firing, coaching, counseling, monitoring and evaluating performance.Oversee the collection and application of customer payments and financing.Monitor and delegate action in support of the departments KPIs (key performance indicators), such as Aged Open Orders and Open Balances.Contact customers for collections and/or non-sufficient funds checks, and confer with Sales regarding any delinquent accountsAudit and monitor the collection and record-keeping of important document such as contracts and certifications of completion.Handle all customer complaints regarding refunds, double billings, and accommodations.Reconcile weekly and monthly COD s and deposits reports.Review and initiate all charge backs or reversals for the sales representatives.Supervise the preparation of letters on delinquent accountsServe as primary point of contact and liaison for office staff and Market Support on day-to-day operational and administrative issues that may arise.Process and submit bi-weekly payroll (input hours and leave for applicable non-exempt associates into payroll operating system).Review payroll system on a daily basis to collect and record missed punches for non-exempt associates.Coordinate, order and oversee management of supplies and equipment for the office.Maintain conference and training room itiate and deliver cross training for all general office pose and prepare written documentation and correspondence for the office, as needed.Establishes work procedures and standards to improve efficiency and effectiveness of the department.All other duties assigned or as required.QualificationsThe successful candidate will possess:Bachelor s degree in accounting or related field.3+ years of Office Management or Accounting experience or related and/or training or equivalent combination of education and experience orCollections and customer service experience a plusComputer proficiency (MS Word, Excel and Outlook)Excellent oral and written communication skillsExceptional time managementAbility to lead and develop others; detail oriented; manage multiple tasks; set priorities and meet deadlines.
