Evergreen Packaging Equipment is located in the city of Cedar Rapids, Iowa, with close proximity to Chicago. Initially begun in 1880 to service the dairy industry, EPE now manufactures gable-top carton filling machines, making Evergreen Packaging a fully vertically integrated carton provider for its customers. Responsibilities Purpose:This position is the "training ground" for full Sales Coordinator II responsibilities. Employees in this position will become proficient at data entry, filing, order processing and other "system" responsibilities before advancing into a customer contact role. At that point, they are responsible for responding to phone, fax, mail and e-mail requests for repair parts from domestic and international customers. Key customers are worldwide end users of Evergreen filling machines and EP service personnel. Activities related to this position include (1) processing orders, (2) quoting part prices, (3) negotiating delivery dates, (4) researching technical information and (5) ensuring customer satisfaction. Coordinators will be assigned specific areas of responsibility such as support for specific international customers. Incumbents will need to be at their desks during most of the working day and must actively participate during on-call hours to ensure customer satisfaction. Various non-sales support functions may be assigned on a permanent basis or as a backup for other positions. Key Responsibilities: What: Complete data entry for all phases of order administration (quotes and sale orders).Perform customer support functions.Process daily reports to extract orders with parts allocated.Expedite parts in-transit for emergency customer orders.Retrieve completed paperwork from the shop and route to appropriate personnel.File sale orders, customer purchase orders, and associated documentation. What: After 6 months, satisfy international and domestic customer requirements:Respond to customer phone, fax, and e-mail requests in a timely, accurate, friendly and professional municate effectively with customers worldwide.After handling customer requests for 6 months, provide on-call support per the schedule (periodically carry the cell phone and laptop), initially with assistance from a Sales Coordinator II.Monitor and expedite customer emergencies.What: Satisfy internal customer requirements:Work effectively with peers and employees in other departments, sharing knowledge and expertise.Have positive interactions with coworkers and internal customers.Work as part of a team, offering and accepting help as needed to meet customer requirements and ensure efficient operation of the department.What: Provide information necessary to meet fill rate and on-time delivery goals.Heed engineering changes to incorporate void and obsolete parts.Create realistic promise dates in line with fill rate and on-time delivery goals.What: Serve as a resource for product and procedure knowledge to peers and others.Become an expert in getting shipments right and on time.Learn the supply chain, forecasting and parts replenishment process.Learn SAP and Agile.Become familiar with parts manuals and how to find information in them.Gain knowledge about all product lines and all aspects of the repair parts business to ultimately benefit the customer. Gain knowledge in all aspects of the repair parts business to ultimately benefit the customer.Key Challenges:The external environment, including technology, competition, markets: The market for products is shrinking through consolidation and there are competitors making copies of parts. Commercially available parts prices may not be competitive. International shipments that go to all parts of the world provide challenges to making timely deliveries.The internal environment, including interaction with others, (both inside and outside the company) policies/practices: Coordinators must work with field service, engineers and supply chain personnel to meet customer needs. The company meets stringent ISO certification requirements to provide consistently high levels of product and service quality. The company has a history of providing high levels of service that must be maintained.The work itself, e.g., problems, opportunities, change: Everyone is being challenged to use new tools to provide higher levels of service. Each coordinator needs to maintain knowledge of the machinery and continue to develop in the use of SAP, Agile, Word, Excel and Access. Coordinators currently take orders and do little or no telemarketing of the parts. Going forward, skills might be developed in this area.
