Job Description

Welk Resorts is seeking an Office Manager. This person will be responsible for the organization and co-ordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency. Essential Duties and Responsibilities (other duties may be assigned):Consistently follow the serve standards at all times.Follow all company and department policies and procedures.Attend safety meetings, keep the workplace in safe condition, and work in a safe manner (including Covid protocol and support needed from Risk Management)Adhere to attendance policy and report to workstation at scheduled start time.Propose ideas or find ways to improve services, systems, and/or procedures.Maintain confidentiality of sensitive information, data and reports.Primary point of contact for sublease negotiations for all corporate locationsReview and provide feedback on lease contractsWork with the law department on contract negotiationsFacilitate and manage implementation of purchasing applicationTrack project plans, monitoring and following up on key dates.Create PowerPoint presentations, utilizing graphics, animations, etc. as needed.to present to executive leaders on office improvementsCreate and manage budgets for the corporate office locationsWork with finance on budget approvalsEnsure facilities are in working orderWork with contractors and other 3rd parties for any repairs and maintenance needed and ensure completeness of work performedUtilize Excel to create spreadsheets, dashboards and other reports.Attends meetings as requested and prepares and distributes meeting minutes..Code and scan invoicesMaintain inventories of office supplies and ensure all areas are stockedCoordinate office movesEnsure office and facility is operating as expected and support coordination of routine maintenance or other facility needsPerforms all other duties as assigned. Qualifications:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Education and/or Experience:High School Degree required; a minimum of three years'' experience as an Executive Assistant or Administrative Assistant is required. Prior work in a corporate setting is preferred. Must be proficient in Word, Excel, Outlook, PowerPoint and SharePoint applications and conducting internet research.Language Skills:Ability to read and interpret documents such as safety rules, operation and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or associates of the organization. Excellent communication skills required. Must be comfortable interacting with members of the executive team.Reasoning Ability:Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. The individual must be comfortable with ever-changing situations and constant re-prioritization of duties.Physical Demands:The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job. The associate will occasionally be required to travel locally by automobile, generally within a 20 mile radius of the work location.
