An independent, college preparatory school serving a culturally diverse educational community of approximately 900 students, from preschool through 12th grade is looking for a Registrar Position Title: Student Systems Manager and Enrollment/College Counseling Coordinator (Registrar) Reports to: All-School Director of Enrollment Management Employment: This is a full-time and 12-month position General Description: The Student Systems Manager and Enrollment/College Counseling Coordinator provides administrative and project management support related to admissions, retention, student information systems, and registrar functions. The focus of this role includes organizing and coordinating admissions procedures and enrollment processes while also supporting other essential elements of student records and systems. In addition, this person is knowledgeable in all of the administrative details and processes of the systems used by the School for managing the admissions process and reporting as well as overall student databases used by the school across school functions. Responsibilities include, but are not limited to: ● Update, coordinate and test functionality for admissions applications and materials ● Manage all general email and online inquiries about the admissions process ● Maintain the online admissions database and processing all data and forms related to the admissions process ● Process applications and provide reminders of important dates and follow­-up regarding outstanding supplemental materials throughout the admissions process ● As part of Ravenna System work, coordinate tours and other admissions events Prepare applicant files and data for admissions committees during the decision­-making process ● Collaborate with Finance Office and Financial Aid Coordinator to issue letters and enrollment contracts for current students and accepted applicants ● Process contracts and follow up on outstanding enrollment materials for new and returning students ● Maintain accurate enrollment database and system (Admissions & Enrollment Modules) ● Input transfer information into the school database ● Process data for student learning management systems for divisions ● Audit and update changes to family information to keep databases relevant for mailings, contacts, and outreach efforts ● Work with the Technology and Communications departments to troubleshoot any issues with information systems ● Organize new student records for divisions ● Process student transcripts for current students who are applying out and new students who are matriculating ● Enter, track, and report admissions season data on a weekly basis and for regular metrics and annual presentations to the Board, school leadership and community ● Provide other duties as needed to support the Enrollment Management Team ● Manage the and oversee, the student information system (SIS) ● Facilitate and Coordinate the SIS system with all other information systems such as Magnus amd Ruvna. ● Perform all registrar duties ● Maintain and manage students'' academic data for all divisions including grade reports and all other pertinent information. ● Maintain and manage all student records and necessary documents as the law requires. ● Respond to all request (legal, employment, educational, medical, etc) ● Perform all duties of a registrar that include preparing transcripts of current and former students. ● Maintain historical student records ● Support all divisions and departments in all of the above functions ● To do all other professional duties requested by supervisors. Qualifications, Knowledge, Skills and Abilities Required: ● Working knowledge of Google Drive, Word, Excel, Senior Systems or similar software to manage online databases and spreadsheets ● Integrity, professionalism, high ethical standards, and the ability to maintain strict confidentiality ● Effective organizational skills with careful attention to accuracy and detail ● Ability to independently and collaboratively to set priorities to meet departmental goals and changing deadlines in a fast-paced environment ● Excellent interpersonal skills with both adults and children ● Strong listening, speaking and writing skills ● Ability to establish and maintain effective, open and collaborative working relationship with all constituents ● Ability to adeptly navigate issues of equity and inclusion with children and families of diverse identities and cultural backgrounds within an educational setting ● A passionate work ethic and a delight in a job well done ● A sense of humor and abundant patience
