Job DescriptionThe Administrative Assistant, performs advanced and diversified administrative and clerical support for AVP, directors, managers, and supervisors for CSO West Region across the nation. This individual will be entrusted with handling sensitive and confidential matters and perform support functions which require a broad and comprehensive knowledge of company policy and procedures. They also structure and organize activities to facilitate the efficient operation of the department. The position is most suited for an individual who can handle multiple tasks and work quickly and effectively to organize data and meet deadlines. Complete confidentiality and absolute discretion are mandatory for this position. This individual should be able to effectively collaborate across teams and work closely with other administrative support in the team to take lead or back up for projects/tasks as needed.Duties will include, but are not limited to:- Maintain staffing reports, assist with team reassignments, maintain department organization charts- Creation, review, refinement, analysis of Microsoft Office Documents (Excel, PowerPoint, etc.)- On-boarding all new employees to the team, ordering desktop/laptops, software, hardware, cell phones, etc.- Recruiting efforts as needed when hiring in teams - interview scheduling, liaison between recruiter and hiring manager- Managing and ordering office supplies, devices (peripheral support items - headsets, etc.)- Submit IT requests as needed for department, review of computer and phone inventory reports- Expense reports, booking travel, review budget charges for phone and IT expenses - Presentations for employee engagement- Meeting coordination and support department communications- Calendar management, attend meetings and record minutes- Preparing and maintaining expense reports, receiving and processing invoices / purchase orders, setting up vendors (where appropriate) and ensuring timely payment - Database management (Excel), limited project management and other tasks as needed; completing other duties as assignedRequired Qualifications- 2+ years of administrative assistant experience managing calendars for multiple individuals in Senior Director or above- 2+ years of experience of expert proficiency and advanced level skill with Microsoft Office programs including Outlook, Excel, Word, SharePoint, Teams, and PowerPoint- Must be self-directed and possess excellent organizational skills.- Ability to manage multiple priorities simultaneously and experience coordinating and scheduling multiple events simultaneously.- Proven time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates.- Must be able to communicate effectively with all levels and prepare effective written documents.COVID RequirementsCOVID-19 Vaccination RequirementCVS Health requires certain colleagues to be fully vaccinated against COVID-19 (including any booster shots if required), where allowable under the law, unless they are approved for a reasonable accommodation based on disability, medical condition, religious belief, or other legally recognized reasons that prevents them from being vaccinated.
