Job RequirementsHigh school diploma or general education degree (GED), six (6) months to one year related experience preferred; or equivalent combination of education and experience. Ability to speak effectively to residents, visitors and other employees. Customer service and high exposure are important functions. Accuracy in documentation is essential. Must have high organizational skills. Must be able to practice discretion in various situations. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Must be computer literate.Job SummaryPrepares and coordinates nursing staff schedules. Validates bi-weekly timekeeping for nursing department in preparation for payroll. Key ResponsibilitiesEssential Functions1. Scheduling & Admin Responsibilities:Completes a master staffing schedule ensuring all schedules are confirmed with written entry on daily staffing sheets, and that all units are properly staffed with appropriate numbers of licensed staff, ie., RNs, LPN, CNAs, Med Techs, etc.Prepares 4 week schedule for all Nursing staff, for all three shifts utilizing scheduling software or other calendar/scheduling applications. Distributes individual and unit schedules.Prepares staff vacancy reports on a weekly basis.Prepares daily staffing sheets for all three shifts. Copies and posts on all units.Keeps all changes up to date.Replace all call-offs. Notifies Nursing Supervisors of any changes or call outs on their respective unit.Keeps record of staff vacations for scheduling. Ensures coverage for all staff leave requests.Keeps Holiday sign-up sheets for holiday schedules.Maintain accurate telephone roster for nursing staff.Answers incoming calls as needed.Receptionist duties as needed.Provides assistance during mealtimes.2. Nursing Staff Performance Appraisals:Confirms date and completion of performance review with Charge Nurse.When appraisal is completed by Charge Nurse sends original to DON.Records dates of completed performance appraisals.3. Payroll Responsibilities:Checks payroll hours periodically over the two week putes bi-weekly punch details for nursing staff payroll. Keeps record of scheduled PTO hours, unscheduled PTO hours, number of call-off incidents. Keeps track of missed punches and corrects exception reports when necessary.Distributes paychecks every other Thursday to nursing staff and accompanying memos.Keeps payroll changes up to date: Terminations, LOA beginning date/return dates, change of working hours, change of status. Maintains attendance record on each nursing employee.4. Performance and Professionalism:Maintains professional presence when representing Ingleside. Exhibits degree of professionalism consistent with standards in performance, behavior, and appearance.Maintains resident confidentiality and privacy at all times according to Ingleside policies and procedures; uses discretion when discussing resident matters.Demonstrates courteous and cooperative behavior with residents, families, co-workers, subordinates, supervisors, and other department staff.Maintains positive working relationships with management and providers; willingly follows directions and requests as appropriate. Exhibits professional standards through appearance and demeanor consistent with Ingleside''s standards; always dresses and grooms appropriately.Demonstrates a thorough knowledge of work assignments; performs assignments in a manner to meet quality and timeliness objectives. Demonstrates knowledge and understanding of ING policies and procedures; seeks clarification or interpretation of questions concerning policies/procedures from appropriate supervisor.Adheres to Ingleside''s attendance policy by maintaining an adequate absentee rate and provides proper documentation to support absences when appropriate or required.
