In this Office Coordinator role, you will be expected to manage the daily operations of the WPB office as well as backup the Executive Coordinators with scheduling & travel arrangements when needed. This role will be instrumental as the face of the organization to greet guests & prepare materials for Board meetings, Executive Trainings, and Business Events. High proficiency within Microsoft Office Suite as well as technology in general will be a must! Pleasant & professional demeanor required. NOTE: This position will offer fantastic WORK/LIFE BALANCE requiring only ~32 hour work weeks while still offering FULL BENEFITS package. Serious applicants only! Responsibilities of the Role:- Efficiently handle incoming calls when needed by taking and delivering detailed messages- Greet all guests upon arrival and make them feel comfortable and welcome- Manage all conference room responsibilities including catering orders, allocating meeting spaces, managing guests and managing any required presentation materials- Assist with office & kitchen inventory to ensure everything is well stocked and organized- Manage all vendor relationships- Perform administrative tasks such as binding reports, scanning, printing, calendar management as needed, expenses, scheduling meetings, etc.- Liase with Corp HQ IT to resolve login issues or administrative technology - Perform backup Executive Assistant duties during busy times or leaves of absence- Manage calendars, schedule travel and plan professional meetings - Assist with planning details for company events, team building functions or various community networking opportunities- Assist with ad hoc duties as needed
