The Office of Student Conduct is a unit under the Division of Student Affairs that oversees student accountability processes. The Office of Student Conduct aims to help students learn and grow through their decision making and the Student Code of Conduct and supports the goals campus safety for all students. Job SummaryDepartment-Specific ResponsibilitiesProvides general clerical support to the administrative staff of 1 or more Residential Programs and Services'' (RPS) departments, and specifically to RPS staff working with student conduct by processing highly confidential materials and dealing with issues of a sensitive nature.Works collaboratively while monitoring compliance with procedures and municates regularly with central RPS offices, residence center professional staff and the Office of Institutional Equity.Gathers information and prepares a variety of routine and non-routine reports and correspondence, memorandum, hearing notices, letters to parents etc., and proofreads reports, correspondence and publications for grammar and spelling. Assists in creating publications and presentations.Creates and maintains a variety of departmental files including student conduct files both in paper and electronic format.Reviews and uploads student conduct notifications and decision letters into student conduct system; and compiles hearing documents.Maintains electronic calendars for administrative staff, arranges appointments, schedules meeting space, etc.; and screens and directs callers and visitors cordially and effectively.Coordinates logistical arrangements for weekly staff meetings, hearings, conferences, travel, and training workshops; and makes arrangements for meeting space and technical support. Intakes a variety of issues, complaints and concerns communicated by students, parents and other members of the university community; and gathers information, and assists administrative staff in formulating and delivering responses.Reviews enrollment to verify student is eligible to participate in conduct process.Prepares purchase orders and other forms routinely used by the administrative staff of the department.Prepares, maintains and distributes written departmental resources, including phone lists and rosters, handbooks and manuals, and other widely used materials subject to periodic change.Assists with training the receptionist position; oversees work of student employees and fills-in for the front of the office as needed.General ResponsibilitiesAssists with office production and determining alternative methods to improve workflow and efficiencies.Opens, sorts, and routes incoming mail, answers correspondence, and prepares outgoing piles, copies, sorts, and files records of office activities.Monitors the use of office supplies and equipment, reorders items as pletes and mails bills, contracts, policies, invoices, and checks.Answers phones, directs calls, and takes messages for the office.QualificationsEDUCATION Required High school diploma or GED Preferred Some post-secondary course work WORK EXPERIENCE Preferred 2 years of office experience in a college or university setting Experience in related field Combinations of related education and experience may be considered SKILLS Required Proficient communication skills Effective interpersonal skills Excellent organizational skills Demonstrates ability to maintain confidential information Maintains a high degree of professionalism Preferred Experience with the Advocate conduct software and Student Information System software Working Conditions / DemandsThis role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
