This individual will assist with coordination of building, ground, and facilities maintenance; facilitate compliance with State/Federal laws regarding levies, subpoenas, garnishments, attachments, and court orders; manage inventory control and purchase orders for bank supplies; and assist with mail room operations, records retention functions and Business Continuity Planning (BCP) administration.Primary Responsibilities:Assists in coordinating building, grounds, and facilities maintenanceDispatches Building Maintenance Workers for tasks and activities within their purviewResearches problems, recommends solutions and implements corrective action upon securing approvalManages day-to-day response to levies, subpoenas, garnishments, attachments, and court orders. Ensures compliance with applicable Federal and State laws. Corresponds directly with Bank attorney in this regard. Maintains all related files. Prepares weekly activity report for Management.Acts as liaison with the Trust Department in securing verification of assets under management for response to legal inquiries.Maintains internal procedure manual for all legal processes.Performs records retention functions in accordance with the Bank''s Record Retention program. Assists department manager with logistics and scheduling for records retention activities.Coordinates all purchase orders for office supplies with appropriate vendors.Performs inventory control functions including vendor orders, supply requisitions and inventory adjustmentsAssists with all mail room operating functions including processing of certified/return receipt mail, registered and internal mail and mass and bulk mailings.Monitors bankwide recycling and refuse removal functions, including sensitive material removal. Coordinates and schedules with vendor.Coordinates maintenance of bank vehicles; including certificate title, preventative maintenance, emissions inspections, and insurance renewals.Assists with the administration of all bank security applications, such as premises alarm systems, video surveillance cameras and recorders, and building access systems. Performs daily monitoring to ensure that surveillance cameras are recording.Assists with the administration of the application for Business Continuity Planning and Disaster Recovery, including the annual review of Business Impact Analysis reports for each department.Provides administrative support to department manager, including but not limited to taking and preparing detailed meeting minutes for the bi-monthly Technology Steering Committee and the annual management committee to review a hypothetical Disaster Recovery scenario.Performs other duties as assigned.Requirements/Qualifications: At least 1 year of college-level course work or equivalent experience plus at least 2 to 3 years in administrative or legal workMust be technologically astute with proficiency in MS Office/Office 365 application suite (Word, Excel, Outlook)Must have superior organizational, communication and interpersonal skillsAbility to multi-task and meet deadlinesModerate lifting and moving of boxes requiredWage Range: $37,787 - $46,335 Equal Opportunity Employer/Protected Veterans/Individuals with Disabilities The contractor will not discharge or in any other manner discriminate against employees or applicants because they have inquired about, discussed, or disclosed their own pay or the pay of another employee or applicant.
