We strive to add hardworking people to our team and we are currently seeking an Administrative Assistant for The Biology Department.The day to day work:Primary contact for the biology department. Assist callers and/or visitors as well as students with any issues they may have with registration, contact information, or other matters that are resolvable immediately. Aid in finding resources within the department, college or different areas on campus to resolve other issues and answer questions.Maintain the privacy of the students, faculty and staff while answering questions and providing support. Assist advisors and chair with A&R (advising and registration) and NSO (New Student Orientation) events. Direct students to an available advisor, as well as assist them in finding open classes and providing assistance to those who are unable to register due to an error or class closures. Complete academic information change forms, updates advisor assignments, class standings and handles contacting students regarding the prerequisite error list.Coordinate travel for faculty, staff and students. Generate expense reports using Concur and assists faculty and graduate students with international and national travel plans, vehicle reservations, and assists students who apply for funding within and outside the department. Order travel cards. Process paperwork for class field trips. Update expense reports and recordkeeping. Complete pcard transactions and ZV60''s for the department and LSRC. Send invoices to other departments on campus for animal care and expenses for the LSRC. Organize events for the department including Tri Beta induction ceremony, Senior Seminar Symposium (twice per year), Graduate Student Orientation and provides COS with information for the Honors Banquet. Run reports in Cognos to determine eligibility for honor society and awards. Coordinate with outside businesses, i.e., Classic Trophy and Fort Wayne Children''s Zoo for various department needs. Request keys and access to exterior electronic doors and maintains spreadsheet for recordkeeping. Maintain numerous records for undergraduate students, travel, graduation lists, alumni, registration issues and assistance, and department club officers and updates these records frequently to assure most up-to-date information is accessible while protecting personal information.Keep track of office supply inventory and orders supplies as needed; orders business cards for faculty and staff.Distribute all course evaluations, downloads reports to Chair and distribute reports to faculty. Assist with social media updates (Facebook and lnstagram). Maintain all bulletin boards for the department.
