They serve as a primary contact person for employees and visitors for event service requests, event set-up needs, and other facility concerns in the building. The Base Camp Experience partners with the Customer Experience Concierge to ensure the headquarters always run effectively and smoothly. As a member of the Base Camp Experience team, this team member helps manage the day-to-day needs of Base Camp and escalates issues to the Base Camp Facility Manager, or the Director of Worklife and Workplace Strategy, as needed.Role Requirements:Front Desk and Base Camp Concierge* Greet, host, and provide support and hospitality for customers, clients, visitors, and employees at Interface''s global headquarters facility.* Support customer and employee requests regarding building and workplace services; Escalate requests to the Base Camp Facilities Manager as needed.* Assist the customer experience team as needed by providing tours and providing event support for visiting clients, the A&D community, dealers, and students* Partner with the Customer Experience Concierge to divide and share all daily, weekly, and event-related duties as needed to ensure the building operates efficiently.Employee Enrichment and Community Building* Draft and distribute regular community electronic newsletters regarding ongoing activities within the HQ. Coordinate content of weekly newsletter with Facilities Manager, Director of Worklife and Workplace Strategy, and other leaders.* Collaborate with Base Camp Facilities Manager and Worklife and Workplace Strategy Director to develop and implement a calendar of employee wellness and enrichment-focused activities and events in support of the building''s WELL certification.* Serve as a building safety representative and facilitate periodic safety drills for employees and visitors.* Welcome new Base Camp employees to the building and facilitate their basic onboarding needs. Provide required security badges, parking garage access, locker information, desk reservation system access, mailing list information, etc. Provide tour and orientation to the building for new hires.Building Function and Maintenance* Help maintain physical security and building access authorizations, including parking access and employee badges, security camera operations, and parking entrance/exit and will escalate to facilities management as needed.* Distribute mail received in the building to respective department mailboxes. Notify Base Camp employees when packages have been received for them. Pick-up, drop-off, prepare postage/labels for mail/UPS/FedEx, courier services, etc. Receive packages and deliveries when the product manager is not available to receive.* Maintain accurate building occupancy, email, phone, and contact lists for distribution to local leaders and executive assistants.* Work with Facilities Manager and janitorial service day-porter to ensure all standard housekeeping duties are completed daily. Perform daily walk-throughs and inspections of all-conference/collaboration/focus rooms for general upkeep and restock supplies at least weekly.* Assist the Base Camp Facilities Manager and janitorial service with the coordination and communication of building maintenance activities including* Partner with Workplace Experience and Marketing to update both printed and digital marketing materials displayed within the showroom and throughout the building.* Work with Facilities Manager, Customer Experience Concierge, and the Worklife and Workplace Director to create event budgets and manage accounts payable for HQ activities.* Co-Manage the day-to-day relationship and presence of various building vendors* Submit building-related purchasing card expenditures to the accounts payable team accurately and in a timely fashion.* Manage and maintain the desk-reservation system software and employee experience within the system.Meeting and Event Coordination and Execution* Assist with employee and customer event and meeting planning, including customer tours, executive meetings, service projects, fitness opportunities, and social events.* Serve as HQ event staff. Assist in the set-up and breakdown of collaboration and meeting spaces as needed.* Assist Interface leaders, employees, and customers in reserving conference rooms and A/V set up, when needed.* Collaborate with on-site IT representatives to trouble-shoot technology and A/V issues, as neededQualifications and Required Skills* 3-5+ years in office management, hospitality, concierge, or related environment. Background should include experience with event execution and support.* Undergraduate degree in Hospitality, Meeting Management, Marketing or related field and/or extensive equivalent combination of education and experience.* Confident and personable, and ability to provide an exceptional level of service to multiple stakeholders at all levels of the organization.* Exceptional planning, organizational, personal time-management, and multiple-calendar-management skills* Impeccable attention to detail and multitasking abilities with capacity to balance multiple priorities, workstreams, and projects.* Capability to advance projects/events individually, or collaboratively, as a member of a team* Adeptness to think critically and problem-solve* Excellent written communication, verbal grammar, and composition skills.* Experience with internal community social media platforms a plus* A service-oriented attitude with an inherent passion for people and customer service* Excellent discretion and judgmentAdditional Role Requirements* Standard building hours are 8:00 AM to 5:00 PM. Occasional early morning arrival or evening departures are required to support events in the building.* This position will mostly be onsite, with occasional opportunities to work remote.* An eye for continuous process improvement and maintenance of team documents, records, and building playbooks* Moderate lifting of office supplies and furniture is required; Continuous improvement and maintain global team documents and or playbooks for events* Computer proficiency including Office 365, Excel, Outlook, PowerPoint. Ability to quickly learn existing systems such as visitor management, desk reservation software, guest wi-fi, etc.* Adaptability taking on projects and tasks that will support building function; willingness to jump in where neededLI-OnsiteWe are a VEVRAA Federal Contractor.
